This position works in Legislative Services. This is specialized administrative work of some variety and complexity in providing clerical and administrative support services for the Legislative Services Department. An incumbent prepares agendas for the meetings of various council committees, advisory bodies and boards; processes all departmental incoming correspondence; acts as official secretary to various council committees; and supervises the work of one or more subordinates. The work involves the responsibility to interpret, advise on, and ensure for adherence to established policies and procedures; considerable contact with elected officials, the public, and a variety of internal and external contacts. Considerable independence of judgement and action is exercised in most aspects of the work. The more complex problems and matters of policy and those of a contentious nature are referred to a supervisor, who reviews work performance in terms of effectiveness of services rendered and attainment of desired results. Performs related work required.

Qualifications include Completion of Grade 12 and a post-secondary program in business or public administration, plus considerable related experience in government administration; or an equivalent combination of training and experience. Thorough knowledge of business English, spelling, grammar and punctuation. Considerable knowledge of the Community Charter, Local Government Act, Freedom of Information and Protection of Privacy Act, and of the bylaws, statutes, regulations, policies and procedures; of the functions and objectives of the various committees served, of meeting proceedings and governing principles of Robert’s Rules of Order; of records management as related to information storage, distribution and retrieval systems. Working knowledge of the operations and functions of various departments. Ability to prepare committee agendas and coordinate preparation of agenda items with various departments; to arrange and coordinate meetings and to take and transcribe minutes that involve interpretation of the collective sense of meetings, and to frame motions often from general dialogue; to assign, check and supervise the work of one or more subordinates and to provide related guidance and support; to establish and maintain effective working relationships with officials, the public and a variety of internal and external contacts and to act on behalf of supervisors during their absence within well-defined limits.

SALARY: $5,957 – 6,200 – 6,460 – 6,730 – 7,011/month (2024 rates)

$6,381 – 6,643 – 6,921 – 7,209 – 7,510/month (2026 rates)

This is a temporary full time position until July 30, 2027.
