Role Summary: The Receptionist/AP/AR position is a key administrative role responsible for creating a welcoming first impression for all guests while providing accurate and timely support to the accounting team. This hybrid role delivers front-desk reception service combined with full-cycle accounts payable and accounts receivable duties. The ideal candidate is professional, organized, detail-focused, and comfortable managing competing priorities in a busy dealership environment.
Key Responsibilities:
Reception & Front Desk
- Greet all customers, vendors, and visitors in a friendly and professional manner.
- Answer and direct incoming phone calls using the dealership phone system.
- Maintain a clean and organized reception area, ensuring brochures, signage, and merchandise displays are tidy.
- Manage incoming and outgoing mail, courier deliveries, and general inquiries.
- Support the sales and service departments with light administrative tasks as needed.
- Monitor showroom foot traffic and promptly alert sales staff of customer arrivals.
- Assist with booking appointments or redirecting guests to the appropriate department.
Accounts Payable (AP)
- Match invoices to purchase orders and ensure accurate coding prior to processing.
- Input vendor invoices into the accounting system in a timely manner.
- Prepare weekly payment runs and follow approval workflows.
- Reconcile vendor statements and follow up on outstanding discrepancies.
- Maintain organized electronic and physical filing systems for all AP documentation.
- Communicate professionally with vendors regarding payment inquiries or issues.
- Support month-end closing duties by ensuring all AP entries are posted accurately and on time.
Accounts Receivable (AR)
- Process daily deposits for service, parts, and sales accurately.
- Prepare and reconcile cash, cheque, and credit card batches.
- Issue customer statements and follow up on overdue accounts when required.
- Support service and parts with invoice corrections or billing questions.
- Reconcile AR sub-ledgers to the general ledger as part of month-end procedures.
- Maintain accurate customer account records and ensure all supporting documentation is filed properly.
Administrative & Dealership Support
- Assist the Controller with various administrative tasks including data entry, document preparation, scanning, and filing.
- Provide backup support for other administrative positions during absences or high-volume periods.
- Adhere to all internal control processes, confidentiality standards, and dealership policies.
- Participate in occasional dealership events, promotions, and customer initiatives.
Qualifications & Requirements:
- Previous experience in reception and/or accounting (AP/AR) required; dealership experience considered an asset.
- Strong computer skills, including proficiency with Microsoft Excel, Outlook, and accounting software.
- Excellent customer service and communication skills — polished, professional, and friendly demeanor.
- High attention to detail with strong organizational and multitasking abilities.
- Ability to work independently while supporting a collaborative team environment.
- Reliable, punctual, and comfortable working in a fast-paced setting.
- Ability to maintain confidentiality when handling sensitive financial and customer information.
