Bring your excellent administrative and organizational skills to our team as the Administrative Assistant, Compliance in our Professional Conduct and Regulatory Affairs (PCRA) department.

The College’s PCRA department responds to inquiries from the public about dental concerns, investigates the conduct of dentists, provides support to the Inquiries, Complaints and Reports (ICR) Committee and Discipline Committee in their decision-making roles and enforces committee decisions.

You will be responsible for providing administrative support to the Professional Conduct and Regulatory Affairs department, by preparing status letters for parties in the complaints process in accordance with legislated timelines and requirements. The Administrative Assistant will also be responsible for the intake of Orders and Agreements from the ICRC as well as providing general administrative support to the Manager and Supervisor, Compliance as needed.

This is a single vacancy, anticipated to be a 12+ months contract. This role will require the successful candidate to work onsite at our Toronto office occasionally as needed.

At this time, we are only considering candidates located in Ontario or who are willing to relocate.

What can I expect to do in this role?

Reporting to the Supervisor, Compliance, you will:

  • Prepare and send customized and standard status letters to parties in the complaints process in accordance with legislated timelines and requirements using the College’s case management CRM system
  • Prepare and send status letters to the Health Professions Appeal and Review Board
  • Receive and process all incoming ICRC Orders and Agreements in the College’s case management and document management systems
  • Close compliance files upon completion using the College’s case management and document management systems
  • Create tasks in CRM to track compliance course information
  • Manage digital documents in preparation for ICR Committee
  • Assist with other general correspondence as needed
  • Update complaint files using the College’s case management system
  • Respond to general inquiries from legal counsel, complainants and dentists
  • Electronic filing
  • Other duties as required

What skills and background do I need?

The Administrative Assistant, Compliance requires:

  • Completion of a two- to three-year community college program
  • Two to three years of position-related experience or a combination of relevant education and experience
  • Proficiency in Microsoft 365 and Adobe Acrobat Pro; experience with case management and document management systems
  • Ability to work closely and collaboratively in a dynamic team environment
  • Excellent organizational skills and ability to prioritize tasks in a fast-paced environment
  • Ability to work efficiently and effectively to complete tasks in a timely manner
  • Excellent written and oral communication skills and interpersonal skills
  • Strong attention to detail
  • Demonstrated dependability, reliability and professionalism in the workplace
  • Excellent critical thinking and problem-solving skills
  • Ability to maintain confidentiality
  • Demonstrated natural curiosity to ask questions, review research; identify all required and relevant information
  • RCDSO is building its bilingual (French/English) capacity and excellent French language proficiency is an asset

Compensation and Total Rewards

  • Base annual hiring salary from $51,215 to $57,617.10 (pro-rated for the duration of the contract), commensurate with experience
