About the role
Job Description As a Coordinator at the Engineering Department, you will provide administrative support to the entire Engineering function at Davie. This person will collaborate with the Functional Engineering, Production Engineering, Integrated Logistics Support and Commissioning teams, as well as with the Vice-President, Engineering, to facilitate project coordination.
More Specifically, You Will
- Provide administrative support to the directors, as required;
- Act as the engineering point of contact among executives, employees, clients, and external partners;
- Assist HR with onboarding of new engineering employees and contractors, ensuring they have a desk, are introduced to key staff and supervisors, etc.;
- Process requisitions in Oracle and verify subcontractor hours for accurate billing;
- Prepare weekly task planners to assist accurate job charging;
- Track overhead budgets as required;
- Support PMO and project teams to ensure timely submission of engineering deliverables and track their progress;
- Prepare and coordinate project-related documentation, including but not limited to change orders;
- Coordinate regular KPI reports;
- Support and attend meetings to take minutes and manage related tasks (reservations, note taking, follow-up on actions, compilation and distribution of reports, food and beverages, etc.);
- Schedule and manage various meetings in calendars;
- Coordinate on-site FSR and associated logistics;
- Maintain office organizational chart and annual vacation calendar;
- Assist with coordination of flights, hotels, car, temporary accommodations, as per the corporate policy;
- Scan and save documents in appropriate filing system;
- Provide various administrative support for the Engineering Department, as required, including ensuring office supplies are readily available.
Qualifications
- Bilingual written and oral (mandatory);
- Minimum of three (3) years of related experience in project coordination or a related position;
- Knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
- Sense of priority, ability to work on several projects simultaneously;
- Ability to express yourself with ease, ability to synthesize;
- Display autonomy;
- CAPM certification is an asset;
- Communication and interpersonal skills.
