About the role
BCIT’s Safety, Security and Emergency Management department is seeking a **regular, full-time (**FTE 1.0) Emergency Management Coordinator. This position supports the Emergency Management Division (within SSEM) in coordinating emergency preparedness planning activities and training/education activities, coordinating in emergency response during emergencies, supporting resource management, participating in BCIT community emergency preparedness initiatives and building relationships with the community emergency program volunteers, supporting the emergency response volunteer program including fire wardens, and coordinating with continuous improvement activities throughout the various emergency management programs, ensuring the BCIT community is prepared for a wide range of potential emergencies and enhancing the safety and security of our campus community.
Duties & Responsibilities
DUTIESANDRESPONSIBILITIES**:**

Updates the emergency management volunteers information via the ServiceNow management platform e.g. onboarding records, contact lists, training records, team role, exercise records, building/depot security access, to ensure that the information is accurate, accessible, secure and consistent across the platform including utilizing search functions and reporting tools which are crucial and effective for communication and coordination during emergency response efforts.

Coordinates with ITS to deliver notifications, updates, reminders to Emergency Management Program volunteers and fire wardens regarding training sessions, emergency drills, and important information through ServiceNow Management system.

Supports the recruitment process of emergency response team members by explaining to interested parties the advantages and expectations of being a member.

Provides and maintains the access to the online course for new and existing fire wardens. Provides and updates the equipment to the fire wardens.

Monitors the fire warden database in the ServiceNow Management system to ensure accuracy and all areas are covered by trained personnel. Reports discrepancies in the coverage to the Division Manager and makes recommendation of solution e.g. recruitment or re-assignment of fire wardens as needed.

Coordinates and assists with depot orientation/tours for new emergency response team members.

Assists with the development and implementation of emergency management trainings and expositions. Coordinates all aspects of training such as attendee recruitment, assembling training materials, booking rooms, and arranging catering services, to ensure a seamless and productive training experience.

Assists in the preparation and implementation of BCIT emergency response exercises by supporting the Division Manager on planning activities, coordinating with various partners during the exercises, developing surveys for feedback, consolidating feedback/debriefing from training and exercise events to assist the Division Manager to develop After Action Reports/Improvement Plans.

Creates and/or updates emergency management material as required relating to education, training, and policy and procedure documentation, e.g. manuals, emergency response guides, posters, intranet postings, training materials etc.

Posts emergency management training courses and exercises on intranet and the professional development system to ensure they are accessible and up to date for all emergency response volunteers including fire wardens.

Conducts thorough research to maintain accurate resource materials for the Emergency Management newsletter to effectively advertise and engage the Emergency Management Volunteer community. Updates Risk Management System and other databases in supporting emergency management operations. Procures government and other third party publications, as needed.

Updates and maintains information on SSEM bulletin boards and SSEM emergency management website ensuring all displayed content regarding emergency management program is current, accurate, and relevant. Provides detailed recommendations to the Division Manager for necessary updates and improvements.

Facilitates emergency satellite telephone testing with Ministry of Emergency Management and Climate Readiness (EMCR) on a monthly basis. Trains BCIT managers, team members and security officers on a monthly basis on the emergency satellite telephone testing with the EMCR Provincial Regional Emergency Operation Centre.

Orders emergency response equipment through the designated external providers and monitors the inventory of supplies for the Emergency Management Division and emergency depots across all campuses including tracking expiry dates for timely replacements to ensure readiness and adequate stock levels. Updates emergency operations centre “grab-n-go” bags with documentation and supplies before and after exercises.

Coordinates asset inventory for Emergency Management Program including photographing assets, logging and tagging assets and completing asset report for Safety, Security and Emergency Management (SSEM).

Collaborates with internal teams, e.g. ITS or Educational Technology Support, on troubleshooting issues or customizing systems to ensure consistency and integration across all platforms used by emergency management program.

Provides and maintains the approved and secure access to the Business Continuity Program and Emergency Management SharePoint sites for various teams based on the Division Manager’s requirements and authorization, ensuring that correct personnel have appropriate access.

Submits facilities requests on behalf of the Emergency Management team for maintenance and repairs.

Performs administrative work for meetings, such as scheduling, creating agendas, and taking and circulating minutes, as required.

May be required to assist with various administrative tasks during vacation and other co-worker absences.

Participate in Records Custodian training and remains current with record-keeping practices, policies, and procedures (both BCIT and FOIPOP).

Undertakes related duties as assigned, consistent with the job grade of this position.
Qualifications
QUALIFICATIONS**:**
Definition: The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.
Education:
- Completion of Grade 12 along with up to one year of specialized training in related discipline, such as business administration, emergency management, or emergency preparedness and response.
- Candidates should either hold or be actively working towards an Emergency Management Certificate through the Justice Institute of British Columbia.
License(s)/Certifications(s):
- Class 5 driving licence.
Experience:
- Requires two years general experience plus two years of current related experience, including administration and working in an emergency management or a community safety planning field.
Software/Computer Application(s) and Expertise:
- Microsoft Office products; Word and Excel at the intermediate level.
- Excellent keyboarding skills for notetaking and correspondence.
Communication/Interpersonal Skills:
- Exceptional interpersonal, communication and customer service skills.
- Demonstrated ability to work independently and as a team member.
Administrative Skills:
- Excellent organizational skills, detail-oriented and ability to take minutes.
- Proven ability to take initiative to develop and implement business processes and coordinate event planning.

Additional Salary Information
