Position Information**:**
Full-time Support Staff Position Opportunity (Temporary Employee Replacement (see Appendix D of collective agreement), July 2026 to August 2027

Payband: Band J; Starting Rate: $43.61; Four Year Rate: $50.39
Department: Scheduling
Hours: 35 hours per week (1) one hour lunch; Mon – Fri (8:30 am – 4:30 pm)

Reporting To: Manager, Academic Scheduling and Campus ID
Campus Location: Oshawa/Whitby (Travel Between campuses may be required)

Duties and Responsibilities:
The incumbent is responsible for the creation and implementation of the development of schedules for all full-time programming of Durham College and/or Continuing Education. The incumbent must meet all deadlines related to web registration. The incumbent initiates timelines pertaining to the Program of Studies by gathering, analyzing and interpreting all data for each of the divisional schools with Durham College. The incumbent must work with Faculty Offices and the Office of the Registrar to ensure the accuracy of programming data and that room attributes match course and faculty requirements.

Establish timelines, distribute to schools and monitor for scheduling on a yearly basis.
Use advanced programming skills to develop reports for “schools”, IT, VPA’s office and other areas as requested.

Scheduling:

  • Determine, set and initiate timelines pertaining to Durham College to meet registration/web deadlines.
  • Using scheduling software, produce campus-wide student, faculty and room timetables for Durham College courses.
  • Analyze and interpret information/data related to student course demand, course sections/restrictions, program loadings/restriction room requirements/restrictions, and space availability.
  • Ensure that faculty collective agreement restrictions/requirements are abided by as well as any additional restrictions or requirements.
  • Review faculty and student timetables to ensure quality conflict-free schedules are created.
  • Maintain and validate all lecture/lab links within Banner Student Information System and Infosilem.
  • Liaise with Academic Upgrading & the SCWI to ensure their scheduling requirements are met on a continual basis.
  • Develop academic blocks based on course sectioning requirements (block codes), including web registration control features, such as Block1000.
  • Coordinate, liaise, and schedule courses requiring space on both campuses (Whitby/Oshawa), allowing for appropriate travel times (students/faculty).
  • Coordinate, liaise, and schedule courses requiring classroom and lab specific space within Durham College.
  • Create course registration numbers (CRN’s).
  • Maintain an accurate inventory of classrooms by inspecting new and old space to compare against information provided by facilities.
  • Liaise with the faculty’ss to ensure that new faculty member(s) profiles are updated in banner, making them an active faculty member (instructor, professor, sessional) and assigning them to the appropriate school.

Database & Reporting Management:

  • Responsible for the creation, implementation and management ofall databases required for integrating all faculty’s/departments to Central Scheduling.
  • Responsible for the creation and implementation of all scheduling reports using the aid of Cognos and Infosilem My Views to extract data out of Banner and Infosilem to be manipulated.
  • Run continual enrolment reports during the registration period to ensure that courses do not exceed the maximum capacities of assigned locations.
  • Provide utilization and quality control reports to analyze schedule quality and give suggestions on future space requirements based on current needs.
  • Validate CRN information to ensure accuracy for web registration.Update Infosilem Timetabler, Banner and Enterprise Portal with any schedule changes.
  • Creating and maintaining all documentation (training manuals, work instructions, teaching guides etc.) related to Infosilem products.
  • Responsible for coordinating with IT Services on updating scripts, modifying text files by transfer specifications, installing new patches, import and exports into Banner and Infosilem software.
  • Facilitate and execute Infosilem’s SIS transfer to import into Banner and fixing errors that may appear.

Communication:

  • Liaise with Deans, Associate Deans, Administrative Coordinators, faculty and staff in Durham College to manage communication data collection and schedule production processes to adhere to timelines.
  • Resolve conflicts and respond to requests for timetable changes.
  • Establish policies and procedures for all scheduling guidelines for Durham College.
  • Coordinate and liaise with other campus scheduling officer(s) to ensure courses being offered at both campuses are scheduled effectively and efficiently.
  • Coordinate and liaise with the UOIT scheduling officer(s) to ensure shared space is scheduled conflict free.Work together to ensure deadlines/timelines reflect each other.
  • Coordinate and liaise room change requests from the Academic Offices.Accommodate all required changes (increased enrolment results in the assigned classroom being too small), and try to accommodate all desired changes.Create and distributed appropriate communication to the Deans, Associate Deans, Administrative Coordinators, and faculty members.After the deadline room changes require the approval of the VPA, we work together to review the academic blocks, professor and room schedules to see if approval should be granted.

Software Testing & Implementation:

  • Responsible for creating test plans and testing all new software and systems (Infosilem products, Banner).
  • Ensure that testing is successful prior to implementation into production.
  • Involve all stakeholders in the rollout and testing of new software.
  • Identify gaps or problems in the testing phase and notify the software provider of the issue.
  • Trouble shoot errors to find a solution.

Qualifications:

  • A minimum of a 3-year diploma or degree in Business Administration – Information Technology
  • A minimum of 5-years of experience in a postsecondary academic environment. Scheduling experience in a college or university environment would be an asset.
  • Proficiency in Banner and Infosilem would be an asset.
  • Excellent organizational, analytical and time management skills.
  • Advanced Microsoft Office skills including Word, Excel, Access, Outlook, PowerPoint.
  • Excellent written, verbal communication skills.
  • Ability to work independently as well as working effectively in a team.
  • Proven analytical skills and ability in dealing with quantitative and numerical data.
  • Excellent critical thinking/problem-solving skills.
  • Detail oriented and able to detect, analyze and resolve discrepancies, errors and omissions.
