Job Description: Operations and Payroll Associate
Location: Kentville, Nova Scotia
Reports To: Plant Manager
Position Type: Salaried, Full-Time
Schedule: Monday to Friday
Position Summary
The Operations and Payroll Associate is a key member of the plant administration team, responsible for ensuring accurate payroll processing, maintaining vacation and attendance records, supporting operational activities, and performing basic accounting and administrative tasks. This role requires a high level of accuracy, confidentiality, and the ability to manage multiple responsibilities in a fast-paced manufacturing environment.
Key ResponsibilitiesPayroll & HR Administration

Process regular payroll cycles accurately and on time.

Maintain employee records related to compensation, benefits, and deductions.

Track vacation accruals, sick leave, and attendance.
-
Respond to employee inquiries regarding payroll and time-off policies.

Understanding of the union contract as it applies to pay.
Operational Support

Perform inventory and cycle counts as required.

Assist in coordinating day-to-day operational activities across departments.

Support procurement and vendor coordination as needed.
Accounting & Data Entry

Perform basic accounting data entry tasks, including invoice coding and expense tracking.

Assist with reconciliation of operational and payroll-related accounts.

Generate reports for finance and operations teams as required.
Office Administration

Manage inventory and ordering of office supplies to ensure availability.

Maintain organized records and documentation for payroll, operations, and administrative functions.

Support general office tasks and assist with internal communications.
Compliance & Reporting

Ensure payroll and attendance practices comply with labor laws and internal policies and union contract.

Prepare and submit reports related to payroll, attendance, and operational metrics.

Assist with audits and provide necessary documentation.
Qualifications
-
Diploma or degree in Business Administration, Accounting, or related field.

2+ years of experience in payroll, operations, or administrative support.

Familiarity with payroll systems (e.g., ADP, Ceridian, Payworks) and basic accounting software.

Understanding of employment standards and payroll legislation.
-Experience in a Unionized environment an asset.

Proficiency in Microsoft Excel and other office software.
