About the role

Key Responsibilities
Reception & Front Desk

  • Greet and assist residents, families, visitors, and external partners
  • Answer and direct phone calls; provide general information
  • Receive and distribute mail and deliveries
  • Schedule meetings, appointments, and resident transportation
  • Enter maintenance requests into the computerized system
  • Build positive relationships with residents through daily interactions

Administrative & Office Support

  • Data entry, filing, document preparation, and record maintenance
  • Maintain organized paper and electronic filing systems
  • Order and manage office supplies
  • Assist with newsletters, welcome packages, calendars, and communications
  • Assist with admission/discharge processes
  • Track “extra charges” and maintain documentation
  • Coordinate parking, storage, and garden usage

Financial & Data Entry Support

  • Support invoicing, receipts, deposits, and record tracking
  • Assist with basic accounts receivable documentation
  • Use Excel, databases, and accounting software

Leadership Support

  • Provide administrative support to the Executive Director and leadership team
  • Prepare and distribute agendas and materials
  • Assist with special projects and cross department coordination

Qualifications
Education & Experience

  • High School Diploma required
  • Post-secondary education in business, office administration, or related field is an asset
  • Experience in administrative, reception, or customer service roles
  • Experience working with seniors or in healthcare is an asset

Technical Skills

  • Intermediate proficiency in Microsoft Office (Outlook, Word, Excel)
  • Competent with office equipment and databases
  • Experience with Sage 50 (Canada) is an asset

Interpersonal Skills

  • Professional communication skills (written and verbal)
  • Strong organization, accuracy, and attention to detail
  • Ability to maintain confidentiality
  • Warm, patient, and service-oriented

Working Conditions

  • Part-time
  • Office-based role with frequent interaction across the campus
  • Combination of desk work and movement throughout the residence
  • Occasional schedule flexibility required

Martindale Place consists currently of 118 units and is located in St Catharines, ON. We are preparing to begin construction of an additional 70 units that will provide the opportunity for residents to live independently with enhanced services, including meals, housekeeping and laundry.
