This position is key to fostering an exceptional Team Member and Volunteer experience through a variety of administrative, operational, and strategic support functions.

The T&C Coordinator collaborates with all members of the department, contributing to leadership and development initiatives, onboarding and training, volunteer program coordination, and managing the organizational uniform program. The role demands a proactive, detail-oriented individual who can thrive in a fast-paced, high-volume recruitment environment. This position requires strong organizational, communication, and problem-solving skills with a high level of professionalism and adaptability.

Key Responsibilities Administrative and Departmental Support

  • Central communication point for Team & Culture department, responding professionally and efficiently to internal and external inquiries.
  • Assist with HRIS updates and data integrity, supporting regular audits and reporting.
  • Act as a backup for payroll processing, benefits inquiries, and other time-sensitive administrative tasks.
  • Prepare visually engaging presentations and departmental reports for internal use and leadership teams.
  • Conduct research to support department projects and strategic planning initiatives.

Onboarding and Training

  • Collaborate with the T&C Team to ensure a seamless onboarding process for all new Team Members, ensuring alignment with company culture and operational requirements.
  • Support the facilitation of new hire orientation sessions and other learning and development initiatives, both in-person and virtual.
  • Support the delivery and communication of benefits, policies, and resources during the onboarding phase.
  • Support the Learning Management Systems (LMS) and learning and development tools, including assigning, tracking, and reporting on required training.
  • Provide administrative support for leadership and development programs, including workshop logistics, tracking participation, and analyzing feedback.

Employee Uniform Management Responsibilities

  • Oversee the organization’s uniform program, including vendor coordination, supply management, and budget oversight.
  • Ensure consistent brand representation across all departments by enforcing uniform standards and branding guidelines.
  • Manage sourcing, ordering, inventory, distribution, and returns in collaboration with department leads.
  • Maintain accurate inventory levels and timelines to support seasonal and ongoing operational requirements.
  • Actively seek and incorporate feedback to enhance the uniform program’s efficiency and functionality.
  • Work collaboratively with the Team & Culture team and departments to design and implement an efficient uniform distribution and return process.
  • Communicate uniform updates or changes to all relevant departments in a timely and clear manner.
  • Support the ongoing evaluation and improvement of the uniform program based on feedback, operational needs and standards.

Project and Policy Coordination

  • Assist with the creation, communication, and maintenance of departmental policies.
  • Participate in and/or lead special projects as assigned by the Executive Director.
  • Ensure clarity and accessibility of departmental resources, forms, and procedures across all teams.

Volunteer Program Coordination

  • Maintain volunteer records and the Better Impact database, ensuring accuracy and compliance with relevant standards.
  • Coordinate volunteer scheduling to meet operational demands, working collaboratively with internal departments and external partners.
  • Facilitate volunteer training, orientations, and engagement activities, often delivering presentations to diverse audiences.
  • Act as the primary contact for volunteer-related inquiries, maintaining strong, supportive communication.

What You Bring

  • Post-secondary education in Office Administration, Human Resources, Business Administration, or a related field.
  • Minimum 3 years of experience in administrative support, HR coordination or project coordination.
  • Previous experience working in learning and development, volunteer coordination or coordinating projects would be a strong asset.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience using HRIS systems (e.g., UKG) and Learning Management Systems (LMS).
  • Comfortable using emerging AI tools (e.g., Copilot, ChatGPT) for productivity and content creation.
  • Strong organizational skills with the ability to manage timelines for multiple projects.
  • Excellent communication skills, both written and verbal

You Will Be

  • Working in an office based position (with a standard work week of 40 hours with flexibility to accommodate weekend work to meet operational needs).
  • Working in a warehouse environment when managing the uniform program.
  • Frequently utilizing technology.
  • Prolonged periods of sitting at a desk, repetitive movements related to computer tasks.
  • Occasionally lifting up to 20 pounds, standing, and mobility required to receive and manage uniform inventory.

About WinSport

The Bill Warren Training Centre (BWTC) opened in January 1994. The facility provides fitness training and support services to Nordic athletes and the public. The BWTC is located at the Canmore Nordic Centre. It was the host site of the cross-country skiing and biathlon events at the 1988 Olympic Winter Games.
