Job Summary
Levitt-Safety is seeking a highly organized Service Administrator to support our Fort McMurray branch. In this fast-paced role, you will coordinate service activities, schedule technicians, manage documentation and data entry, and provide excellent customer support.
Reporting to the Service Administration Supervisor, the ideal candidate is detail-oriented, customer-focused, and comfortable managing multiple priorities while working with service technicians and customers.
You will support operations primarily within our Fire & Life Safety Equipment, Vehicle Suppression, and Instrumentation divisions.
Main Responsibilities
- Provide exceptional customer service to customers and technicians regarding products, services, and service requests
- Schedule and dispatch technicians for service calls, ensuring efficient coordination and timely response to customer needs
- Maintain accurate data entry across work orders, customer records, service documentation, and internal systems
- Manage calendars and coordinate service appointments with technicians and customers
- Process billing and invoicing based on completed service work and ensure accurate documentation for prompt payment
- Assist with purchase orders, parts ordering, and warehouse transfers to support service operations
- Prepare quotes and communicate service order details with technicians and warehouse teams
- Maintain organized records including work orders, customer accounts, purchase orders, and inventory documentation
- Perform administrative duties such as data entry, scanning, filing, and document management
- Support implementation and training for new service software
- Assist with internal projects and administrative tasks that support branch operations
Job Requirements
- Minimum 2 years of experience in service administration, scheduling, dispatch, or customer service
- Strong data entry and administrative coordination experience
- Experience scheduling technicians or coordinating service work is an asset
- Highly organized with strong attention to detail and ability to manage multiple priorities
- Comfortable working with multiple systems and technology platforms
- Excellent communication skills and professional telephone manner
- Ability to work in a fast-paced environment and manage urgent service requests
- Positive attitude, strong teamwork skills, and willingness to learn
