Senior Administrative Assistant

Contract Opportunity (1-2 months)
EXP is seeking an experienced Senior Administrative Assistant to provide hands‑on, in‑person administrative support for our Calgary office, while also supporting other Western Canada offices remotely as required. This role is execution‑focused and aligned with defined operational and administrative needs for the duration of the contract.
What a Day at EXP Has in Store for You
Support the Office Manager by coordinating with suppliers, internal staff, and the building manager for the Calgary office.
- Provide administrative onboarding support for new hires, including coordination, documentation, and scheduling.
- Provide remote backup administrative support to other Western Canada offices, as required.
- Assist with defined special projects within the scope of the contract.
- Perform administrative duties including:
- Coordinating meetings and scheduling meeting rooms.
- Ordering catering for meetings.
- Taking meeting minutes.
- Data entry and document preparation.
- Copying, scanning, binding, filing, and document retrieval.
- Mail and courier coordination.
- Prepare, edit, and proofread correspondence including reports, memos, emails, and spreadsheets.
- Coordinate the upkeep of shared spaces within the Calgary office to ensure they remain clean, organized, and welcoming.
What Your Experience Looks Like
- 8–10+ years of progressive administrative support experience in a professional services environment.
- Demonstrated experience supporting office operations, with exposure to quality processes, human resources administration, document control, and finance coordination.
- Strong written and verbal communication skills.
- Proven ability to work effectively with a wide variety of staff and clients.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- Strong editing and proofreading skills, with attention to grammar and structure.
- Excellent organizational and time‑management skills, with the ability to manage multiple priorities and meet deadlines under pressure.
- Experience in a consulting, engineering, or construction environment is considered an asset.
- Completion of secondary school, supplemented by formal administrative training or equivalent professional experience.
