About the role

The Proposal Coordinator supports the firm’s business development and marketing efforts by coordinating and contributing to proposal submissions and related marketing materials. Working closely with technical teams and the Marketing team, this role helps translate technical information into clear, well-structured content that reflects the firm’s design expertise and client-focused approach.

This position is well suited to someone with a strong foundation in writing and coordination who is looking to grow their experience in proposals within an architectural or AEC environment.

Key Responsibilities

  • Coordinate and assist with the preparation of RFP/Q responses and other proposal submissions
  • Support the drafting, editing, and proofreading of proposal content to ensure clarity, consistency, and accuracy
  • Review RFP/Q requirements and help gather required information from internal teams
  • Assist in organizing proposal materials, schedules, and submission requirements to meet deadlines
  • Format proposal documents in line with brand guidelines and submission criteria
  • Maintain and update content in the firm’s proposal and marketing content library
  • Support interview and presentation preparation by assisting with written content and visuals
  • Conduct basic background research on clients and projects to support proposal development
  • Edit and update firmwide marketing materials as needed

Qualifications

  • Post-secondary education in English, Communications, Marketing, Architecture, or a related field
  • 2–3 years of experience in proposal coordination, marketing, or administrative support, preferably within an architecture, engineering, or construction (AEC) environment
  • Strong written communication skills with attention to detail
  • Proficiency in MS Office; familiarity with Adobe InDesign is an asset
  • Highly organized, with the ability to manage multiple tasks and deadlines
  • Collaborative, dependable, and eager to learn within a team-based environment
