Job Title: R& I PLANNER & SCHEDULER

Department: Research & Innovation

Reports to: Supervisor, Planning & Scheduling

Level: S6

Purpose and Scope:
The R&I Planner & Scheduler is responsible for efficiently managing the scheduling of CLI formulation and shade development projects, stability sample requests, and other applicable sample requests in Research & Innovation Laboratory, using various tools and methodologies. The role also requires collection and analysis of scheduling data based on Key Performance Indicators (KPIs).

Key Accountabilities:

  • Plan and execute all R&I project requests, dockets. sample and stability requests by coordinating all internal and external efforts.
  • In liaison with Sales and Product Launch Management (PLM) teams, and Product Development (PD) assist developing the weekly R&I project schedule, optimizing resources allocation for the priority projects, reporting the R&I Schedule adherence metric.
  • Develop and maintain an extensive R&I schedule for full visibility on project logistics with timely and accurate updates to reflect the status of all projects.
  • Coordinate and organize activities to ensure raw materials, samples, and components are available for batching together with relevant paperwork.
  • Coordinate and organize activities to ensure lab samples and/or bulk are shipped on time as per commitment to the client and the project timeline.
  • Responsible for establishing and maintaining effective and efficient communication between the lab and cross-functional teams, ensuring that projects remain on the agreed and communicated timelines.
  • Assist with the data collection and analysis regarding KPIs aligned with Company/Department Goals and Objectives including Schedule Adherence in full, On Time Delivery in Full, Project Approvals (Wins and Losses), Submissions, Projects conversion rate etc.
  • Generate preliminary stability, outside testing requests and other internal initiatives during development based on product category following internal processes and accommodate new requests to support the lab activities.
  • Foster strong and productive collaboration with all internal stakeholders such as Sales, Product Launch Managers, Project Managers, PD, Packaging, Stability, Procurement and Planning, Quality, Pilot Lab, Warehouse, etc.
  • Produce and maintain accurate data and records in all company systems.
  • Generate weekly/monthly project summary and reports, Fiscal Year summary, R&I Project Matrix, Balance Scorecard, Smartsheet dashboard reports. Manage post approval huddle folders.
  • Proactively work with internal and external stakeholders to develop a continuous improvement culture within the organization.
  • Any other duties to support the overall R&I laboratory operation.

Skills and Qualifications:

  • Project Management, Science or related field and / or equivalent work experience in the manufacturing or service industry
  • A good understanding of the manufacturing process and experience in the cosmetic industry
  • Strong project management skills, 3 to 5 years customer service experience within the cosmetic industry.
  • Superior organizational and prioritization skills with the ability to multi-task.
  • Excellent communications skills (oral and written),interpersonal and negotiation skills.
  • Self-motivated and flexible with ability to work in a fast-paced environment.
  • Proficient with MS Office (Word, Excel), ERP (Visual, Coptis), Smartsheet including database management.
  • Resourceful and solution oriented.
  • Must be a team player and adaptable to changing priorities.
  • Training in WHMIS, GMP and 5S
