Job Summary We are seeking an exceptional communicator with proven experience in patient coordination and appointment scheduling to join our premium dental practice. You will be responsible for increasing our new patient booking rates while efficiently managing our practice schedule. while efficiently managing our appointment schedule. Key Responsibilities Patient Communication & Scheduling
- Welcome new patient inquiries and guide them through scheduling appointments via phone and email
- Build rapport and establish trust through professional, friendly communication
- Optimize new patient booking rates and lead conversions through strategic follow-up systems and relationship building
- Manage referrals from other dental offices with priority attention
Schedule Management
- Coordinate and optimize the practice schedule across multiple specialists
- Ensure efficient appointment flow while minimizing gaps and disruptions
- Track scheduling patterns and continuously improve appointment accessibility
- Maintain accurate records of all patient interactions and schedule changes
Administrative & Team Support
- Process insurance claims (pre-authorizations and claim submissions)
- Collaborate with clinical team to ensure smooth patient flow
- Support administrative team members as needed
- Participate in team meetings and practice improvement initiatives
Qualifications
- Minimum of 2 years’ experience in a dental practice or high-end hospitality/sales environment
- Demonstrated success in patient scheduling, practice coordination, and lead conversions
- Exceptional interpersonal, written, and verbal communication skills
- Tech-savvy with experience in CRM or practice management software
- Track record of reliability and consistent performance
- Proven ability to handle multiple priorities while maintaining quality
- Outstanding proficiency in English

- Willingness to adapt to new technologies and software as needed (e.g. AI tools)
