Position Overview
The Administrator Assistant performs a variety of tasks that help ensure URS is running smoothly. You will assist with a variety of administrative tasks, project administration, accounts receivable and payable, and health and safety.
Duties & Responsibilities:
General Administration
- Greet and direct office visitors
- Maintain alarm codes for building access
- Primary point of contact for HR related items such as coordinating with IT for new phones, passwords, and workstations
- Assist with SharePoint management
- Monitoring the URS Office email and redirecting emails as required
- Be the first point of contact to take all calls and directs as appropriate
- File creation, customer creation, contact creation, monitoring of all dates and uploading documents into PSA assigned folders for the Prince George, Quesnel, Smithers, and Terrace offices
- Assisting with site documentation as required
- Creating various reports for the team when required
Project Administration
- Sending out quotes for Northern BC offices, including filling in the Work Auth and Agency Agreement forms where applicable.
- New vendor forms, jointly ensure vendor forms are completed and signed
- Filling out and submitting EFT forms where applicable for our vendors
- Assist Project Managers as needed
Payroll
- Track and upload all reimbursements for staff to the accounting folder and create a sheet in the payroll report
AR/AP
- Receiving and uploading all receipts related to credit card expenditures to the shared accounting folder to be reconciled with the statement
- Receiving and uploading all statements, disposal manifests, LOA requests and vendor invoices that are shop charges to the shared accounting folder to be processed
- Receive and enter all vendor invoices directly related to a project and attach the invoice,
- Saving vendor invoice into PSA job file
- Receiving and uploading AR payments and uploading them to shared accounting folder to be processed as well as the shared project folder and PSA.
- Tracking when payments are posted and marking the files completed
- Directing all A/R related emails and phone calls from vendors to appropriate departments
- Creation of all deposit invoices for applicable files
- Creation of all interim / final invoice for applicable files
- Creation of the deferred sales invoices for those projects completed each month
Health and Safety
- OHS committee member – maintain first aid supplies – prepare reports as required – maintain OHS board
- Ensure that self and others adhere to Canstar’s health and safety practices and procedures
- Ensure good housekeeping is kept performing work safely and efficiently
- Understand safety policies and protocols
- Ensure that self and others on site are wearing all required PPE, when required

A personable and well-organized individual with a strong administrative background is a match made in heaven for an Administrator. Experience working in a fast-paced environment focused on internal customer service will have you off on the right foot for this position. Other important attributes of an Administrator are:
- Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) and the ability to type 40+ words per minute accurately
- Team player with an eye for detail and focus on accuracy
- Strong customer service skills
- High degree of confidentiality, diplomacy and tact
- Strong communication skills, written and verbal
