What this role is all about:
The Premises Specialist plays a key role in shaping the physical workplace experience aligned with organizational culture and operational excellence. This role serves as the primary point of contact for service requests, vendor coordination, and operational support, ensuring a safe, clean, and welcome environment for all employees and members. This role requires a strong attention to detail, proactive problem-solving, and a commitment to service excellence.
This position will be based on-site out of our Burnaby Hub.
What you will do:
Facilities Operational Maintenance
- Serves as the main point of contact for day-to-day facilities operations and service requests.
- Uses independent judgment to prioritize and resolve operational issues with minimal supervision.
- Maintains accurate records of maintenance activities and repairs.
- Identifies operational issues or areas for improvement and provides actionable recommendations to management for resolution and enhancement.
- Performs regular visits to all locations within the designated region to ensure the location is well maintained, clean, free of clutter and is creating a welcoming environment for employees, members and guests.
- Ensures all premises related documentation is updated and well organized.
- Supports the Premises Team as required.
- Develop and recommend preventative maintenance schedules across multiple sites.
- Maintains operational dashboards to monitor service levels and identify trends.
Vendor Coordination
- Leads vendor onboarding and performance reviews in collaboration with the Manager, Property & Premises.
- Establishes service-level expectations and ensures compliance through regular audits.
- Supports the Manager, Property & Premises with landlord communications when required.
- Assists in invoice management by ensuring all invoices received are correct and reflect the services provided.
Budget Support
- Appropriately allocate costs within our accounts payable system in readiness for approvals. Identifies opportunities for cost savings and operational efficiencies, without compromising service quality.
- Supports budget forecasting and variance analysis for premises-related expenditures.
Security & Safety
- Maintains and issues access control devices such as key fobs and badges.
- Supports physical security protocols and reports concerns.
- Contributes to enterprise-wide emergency preparedness planning and participates in emergency response as part of the on-call list.
- Represents the Premises & Facilities Team on any OHS Committees to ensure compliance with WorkSafe BC Regulations
Collaboration
- Fostering collaboration and operational excellence through proactive service delivery.
- Partners with other departments to support onboarding, space planning, and the member & employee experience initiatives.
- Acts as a liaison between premises and business units to ensure alignment with operational needs
What you will bring:
- Post-secondary education in Facilities Management, Building Operations, or a related field is preferred.
- 2–5 years of experience in facilities operations or maintenance roles.
- Equivalent combination of education and experience may be considered.
- Must have a valid BC Driver's License and well-maintained vehicle to visit locations within the designated region should it be required.
- Must be able to work at the designated office hub location full time.

- The salary range for this position is $70,000 - $81,000 per annum.
