About the role

Job Description As a Facilities Support Coordinator here at Honeywell, you will play a crucial role in providing facilities administrative support and coordination for our Hamilton location within the Building Automation (BA) business unit. You will be responsible for ensuring the smooth operation of the office and supporting the team in various administrative tasks.

You will report directly to our Facility Manager and you'll work onsite out of our Hamilton, Ontario location.

In this role, you will have a direct impact on the efficiency and productivity of the office, supporting the team in delivering high-quality facility services to our customers.

Responsibilities Administrative & Support Tasks:

  • Provide general administrative support to the facilities department.
  • Handle inquiries from employees and visitors regarding facilities-related issues, incoming and outgoing correspondence, including mail and email and front desk support.
  • Responsible for weekly timesheets/payroll entry and tracking PTO bank
  • Assist in the preparation of reports, presentations, and other documents
  • Manage and update internal company documents, databases, licenses and certificates/permits.
  • Perform basic office tasks such as filing, data entry, and operating office equipment.

Office Operations & Maintenance

  • Coordinate office activities and operations to ensure efficiency and compliance with company policies
  • Assist with coordination of repairs and maintenance services for the building, grounds, and equipment.
  • Ensure Honeywell office space and facilities are clean, well-maintained, and safe.
  • Manage office and facility maintenance supplies and inventory, placing orders as needed to ensure availability of necessary materials. Complete Uniform orders for service staff.
  • Complete invoice payments for customers including credit card payments and regular P-card allocation and report submittal
  • Support the onboarding process for new employees, including setting up workstations and providing necessary equipment

Vendor & Contractor Management

  • Manage service contracts related to life safety systems, HVAC, landscaping, snow removal, and general site services; monitor performance and assist in compliance reporting
  • Coordinate and track service calls, site access, contractor work, and quote requests. Maintain vendor directories, obtain quotes, issue workorders, and support contract compliance tracking.
  • Prepare purchase orders and organize invoices for processing.
  • Track maintenance schedules, follow up on deficiencies, and help maintain compliance logs
  • Ensure service contracts are up to date, managed effectively and meet company standards.
  • Ensure vendor invoicing is current and updated with regular monitoring of AP/AR
  • Complete new customer set up and vendor applications
  • Provide support for Honeywell SMS (Pulsar) to the field organization

Financial & Reporting

  • Monitor AP/AR for vendor management to assist with budgeting and cost control.
  • Assist in the preparation of budgets and expense reports
  • Complete Financial “traps” for reallocation of costs
  • Monitor and report against KPIs for service and preventative maintenance records on a regular basis with monthly reports
  • Work with the CMMS software to track service events and records

Health & Safety Compliance

  • Ensure the office and its occupants meet all necessary health and safety regulations and standards.
  • Monitor facilities to ensure compliance with building codes and safety standards. Ensure licenses and certificates are valid and posted and kept on record.

Qualifications YOU MUST HAVE

  • Immunization (including COVID-19 vaccination) as required by the customer and in accordance with the Public Health Act
  • High school diploma or equivalent
  • 3+ years of experience in a facility support, property management, operations coordination, or construction related administration role
  • 5+ years of experience with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • 2+ years of experience with SAP and Concur or equivalent software

  • Experience in a similar role within the building automation and facility maintenance, property management or construction industries
  • Experience supporting P3 field service teams
  • Previous experience with inventory management
