About the Faculty of Continuing Education

Mount Royal University’s Faculty of Continuing Education has provided high quality education to the Calgary community and beyond for more than 75 years. Serving more than 30,000 students per year, we offer a suite of Ministry of Advanced Education-approved programs (occupational programs in massage, personal fitness trainer and funeral education; academic upgrading; and our Transitional Vocational Programming), over 60 programs and 350+ courses to support professional and personal development in a wide range of topics, and our Conservatory (which offers a broad range of music and speech arts programming). Our courses cover a wide range of topics, including but not limited to business, technology and health. These courses are offered in a variety of formats on campus, online, in the workplace, and in the community.

About the Role

The Continuing Education and Conservatory Student Services unit plays a crucial role in supporting the learners in the Faculty of Continuing Education and Conservatory. As a frontline service area, this unit requires individuals who can problem solve, have a good understanding of policies and procedures, and possess an in-depth knowledge of Continuing Education and Conservatory courses. In addition to processing registrations, the Student Services Representative also performs administrative duties, such as cashier balancing, issuing transcripts, resolving data integrity issues, auditing for graduation, and maintaining student records. The ability to work with several stakeholders and communicate effectively is also essential.

This is a full-time, replacement term position, working 35 hours per week, with an anticipated end date of January 8, 2027.

Responsibilities

  • Combine knowledge of the processes in the functional area to assist students to successfully register in a program/course.

  • Perform registration processes as requested (e.g., withdrawal).

  • Perform daily reconciliation and balancing of in person and over the web transactions.

  • Perform account payable tasks for sponsorship invoices and family installment plans.

  • Work closely with the Senior Lead, Student Services to identify and correct registration and account errors.

  • Possess knowledge of both integrated student information management systems to efficiently retrieve information and respond to inquiries.

  • Reply to student inquiries through email, over the phone, and in person, ensuring accurate and informative responses are given with a pleasant disposition.

  • Apply policies in a fair and equitable manner to all clients.

  • Abide by all institutional policies and procedures (e.g., POPA).

  • Reviewing the academic records of Continuing Education and Conservatory students who have applied to graduate to determine graduation eligibility for certificate of completion and extension certificate programs.

  • Ensure the accuracy and integrity of academic records through error reporting and resolving data issues.

  • Enter applications for admission into the student information systems and collect documentation to assist with the admission process.

  • Issue official documents and letters (e.g., transcripts).

  • Assist with documentation and training for the area.

Qualifications

  • Bachelor’s degree and at least 1-2 years of customer service experience, an equivalent combination of education and experience will be considered.

  • Knowledge of customer service principles and strategies.

  • Excellent communication, time management, and organizational skills.

  • Ability to prioritize large volumes of work.

  • Ability to analyze and solve problems.

  • Precise attention to detail and accuracy.

  • Aptitude for working with data and computer information systems; experience in Banner Student and Extended Education - Lifelong Learning (formerly Destiny One) will be considered an asset.

  • Ability to work independently and on a team.

  • Proficient in Microsoft Office is required.

  • Previous experience in a post-secondary environment is considered an asset.

Salary:$52,816.40 - $66,848.60 per annum
