The Province of Manitoba is seeking qualified candidates to fill bilingual administrative assistant positions throughout the various government departments to deliver reception services, administrative and clerical support, and general office assistance to clients who speak English and French. Language requirements, security requirements, conditions of employment and work location may vary depending on the needs of the position(s) being staffed.

For these positions, the successful candidate must be able to read, write and verbally communicate in both official languages (English and French).

Conditions of Employment:

  • Must be legally entitled to work in Canada

  • A satisfactory Criminal Record Check (Vulnerable Sector Search), Adult Abuse Registry Check, Child Abuse Registry Check, and/or enhanced security screening may be required for some positions

  • Must be able to read, write and speak fluently in both French and English

Qualifications:

Essential:

  • Successful completion of a secretarial assistant training program and/or a combination of relevant experience and training performing secretarial duties including clerical and reception duties in an office-type environment such as, but not limited to: tracking correspondence, processing incoming and outgoing mail, physical and electronic file maintenance, managing calendars and shared inboxes, coordinating meetings, ordering office supplies, maintaining attendance records, and familiarity with using various office equipment.
  • Experience and proficiency with Microsoft Office programs (Word, Excel, and Outlook/TEAMS) or similar software applications.
  • Strong attention to detail with a high degree of accuracy.
  • Strong organizational and time management skills with the ability to prioritize workloads and effectively manage tight deadlines.
  • Strong interpersonal skills with the ability to maintain effective working relationships with all employees at all levels of the organization.
  • Experience providing customer service to the public by phone and in-person in a professional manner.
  • Ability to work independently and solve problems.
  • Ability to work with highly sensitive material in a confidential and professional manner.
  • Strong verbal communication skills in English.
  • Strong verbal communication skills in French.
  • Strong written communication in English.
  • Strong written communication skills in French.

Duties:

The Bilingual Administrative Secretary is accountable for providing comprehensive administrative support to the branch, including front-line reception services. Key responsibilities include procuring office supplies, reviewing and coding invoices, monitoring authority-seeking documentation, proofreading and formatting formal submissions and correspondence, maintaining timekeeping records, and managing filing systems. The incumbent collaborates with branch staff while demonstrating the ability to work independently with minimal supervision.

Note: Duties are subject to vary based on position and can include providing other clerical/administrative support as required.
