  • This position is for a Leasing Coordinator based in Edmonton, Alberta***

We have an exciting opportunity for a Leasing Coordinator who is ready to take their career to the next level by joining our Edmonton office. The successful candidate will be responsible for assisting the VP of Leasing with day-to-day transactional processes for a portfolio consisting of approximately 4 million square feet of office and industrial properties. The Leasing Coordinator will ensure the timely and effective delivery of documentation, transaction approval processes and reporting requirements as outlined by the client and corporate objectives.

Summary Of Essential Job Functions Transaction Management

  • Drafting of Leases, Offers to Lease, Licenses, and other documents. Coordinate with the VP of Leasing and listing agents to structure, document, and present transactions.
  • Review and analyze offers to lease and provide a written recommendation.
  • Order consumer credit reports.
  • Create waivers and amendments.
  • Liaise with Property Management, Project Management and other departments
  • Track process Lease Management, including commissions, document circulation, expenses, etc
  • Procure information from listing teams, , Accounting and other internal departments to facilitate Client objectives.
  • Provide executive assistance to VP of Leasing and other senior staff.

Reporting

  • Collect reporting information from listing teams and other sources on a weekly, bi-weekly, monthly, quarterly and annual basis (financial and non-financial) as required per account.
  • Prepare report templates and formats as required in Excel and Word formats, VTS, Yardi and other formats.
  • Compile reports by property and Client as required.
  • Participate in the annual budget process and monthly reforecasting.

Develop, deploy, and ensure compliance with standards and processes

  • Ensure appropriate procedures are followed to execute leasing transactions.
  • Initiate and manage tools and templates for the leasing process. Collaborate with internal and external stakeholders to ensure buy-in to the development of the processes and standards that meet the client's needs.

Marketing

  • Develop promotional materials for available suites, including flyers, website listings, social media posts, etc.
  • Provide materials to real estate agents on request,
  • Help plan and coordinate broker open houses, client tours and special events
  • Prepare market tour plans and schedules

What You’ll Bring

  • Three or more years of commercial real estate transaction and/or marketing and/or sales assistance experience.
  • A real estate license is considered an asset.
  • Experience with Yardi and VTS would be an asset.
  • Understanding and working knowledge of real estate documentation, including offers to lease for office and industrial, leases for office and industrial properties.
  • Some understanding of financial analysis and the concepts of cash flow and present value.
  • Solution-oriented.
  • Strong customer service skills and strong verbal and written communication skills.
  • Must have computer proficiency in Word, Excel, Outlook and PowerPoint and social media posts
  • Demonstrated aptitude for learning new systems and following multistep processes
  • Exhibits a high level of initiative, self-starter and has a strong work ethic with the ability to work independently and as part of a team
  • Demonstrated accuracy in inputting data, with close attention to detail.
  • Ability to complete, prioritize, and handle multiple tasks under time-sensitive deadlines.
  • Exhibits a high level of professionalism and strong interpersonal skills.
  • Ability to keep sensitive information confidential
