Loomis International (CA) Inc. is the spearheading office representing Canada on a national scale. Our office is in a Small Business format located in Mississauga, close to Pearson Airport, and is ready for expansion.
Pay Rate: $50,000.00 CAD per year
Reporting to the Branch Manager, the Office Administrator & Vault Coordinator is responsible for liaising with the Operations and Sales Teams, ensuring a smooth flow of communication between the departments. Our ideal candidate is organized, proficient at managing a schedule for a crew of people, a great communicator, and shows pride in ownership of their job and responsibilities.
RESPONSIBILITIES INCLUDE:
Vault Administrative:
Responsible for the system side of Storage Operations in Canada
- Stock-ins
- Stock-outs
- Monthly billing
- Pulling stock reports as needed
- Monthly audits
- Tracking physical location of all specific materials within the vault
- Client audits, upon request
- Completing all required processes in the system and forwarding confirmation to the customer
- Liaising with sales team as required
- Early starts and late shifts when required
Office Administrative:
- Track and ensure timely payment of invoices
- Aid the Import/Export team with shipment operations, such as:
- Entering shipment details into the system
- Generating invoices
- Liaising with vendors to schedule physical movements
- Providing the Road Crew with necessary paperwork from the Import/Export team
- Support finance group with basic bookkeeping
- Enter daily shipment details into the system for pick & pack moves
- Track and maintain office supplies as needed
Office Filing:
- Shipment paperwork
- Storage paperwork
- Monthly billing
Cross-Functionality, including:
- Liase with crew
- Monthly audits
- Providing paperwork/details for storage physical movements
- Office supply runs
- Liase with sales
- On storage invoicing and client interactions as needed
- On shipment operations as needed
- Liase with operations and external stakeholders
- On shipment operations as needed
