Job Posting PASS Temporary Junior Human Resource Information System Officer The Waterloo Catholic District School Board serves over 38,000 learners and provides services to students in 50 schools (Kindergarten to Grade 12 and adult learners) across the Waterloo Region.

General Description Of Duties The Junior HRIS Officer plays a key role in supporting the administration, maintenance, and optimization of the Board's Human Resource Information Systems (HRIS) and automated attendance/dispatch programs. This position ensures data integrity, provides reporting and analytics, and collaborates with internal teams and vendors to enhance system functionality. The role requires strong technical skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage day-to-day operations of the automated attendance and dispatch program, including establishing priority lists for call-out replacements, absence code updates, location page updates, employer user accounts.
  • Collaborate with the HRIS Supervisor to align functionality between attendance dispatch and HRIS interfaces.
  • Provide backup support to the HRIS Supervisor on designated tasks.
  • Assist Human Resource Services staff with HRIS and dispatch system related inquiries and assist with troubleshooting and interpretation.
  • Conduct weekly absence and replacement record imports from dispatch to HRIS and run reports as required.
  • Maintain assigned inboxes, respond to inquiries, and troubleshoot user issues.
  • Perform annual maintenance of dispatch program and interfaces.
  • Support onboarding of new employees on attendance/dispatch programs.
  • Deliver training and technical support to school and department administrators; update Staffnet resources for users.
  • Maintain demographic changes in HRIS (e.g., name, address) and employee file updates in Laserfiche.
  • Manage data/spreadsheets related to gratuities.
  • Generate and analyze HRIS and EasyConnect reports to support decision-making.
  • Ensure confidentiality and compliance with HR policies and employment standards.

Minimum Requirements:

  • Three-year college diploma in Human Resource Services, Computer Technology, or equivalent.
  • Minimum three years of experience providing user support and training for database applications.
  • Demonstrated proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Strong organizational, communication, and interpersonal skills.
  • Ability to set priorities and work independently with minimal supervision.
  • Ability to maintain sustained mental focus for accurate data interpretation and effective system troubleshooting.

Desirable Assets:

  • Experience in a school board environment.
  • Familiarity with unionized settings.
  • Knowledge of HRIS platforms such as Apply to Education, EasyConnect, and mVal.

Salary Range: Level 4, $74,092.00 - $87,165.00 per year in accordance with the PASS Terms of Employment

Hours of Work: Temporary, full-time, 35 hours per week / 52 weeks per year

7:00 AM to 3:00 PM with flexibility to work as early as 6:00 AM on inclement weather days during winter months

Temporary contract from November 1, 2025 to June 30, 2026 with the possibility of extension
