JOB MISSION STATEMENT
MCC BC's teams deliver services, generate revenue and awareness, and perform supporting functions to help MCC provide relief, development and peace around the world and in our local communities. As MCC BC’s Administrative Assistant, you are the versatile cornerstone of our team, stepping in wherever needed to handle routine tasks, drive special projects, offer administrative support, and provide proactive assistance. Your contributions ensure that MCC BC’s teams have the resources and support they need to make a meaningful impact and help change the world.

JOB SUMMARY
Reporting to the Executive Coordinator and as an integral part of MCC BC’s office team, the Administrative Assistant plays a crucial role in providing comprehensive administrative and functional support across all MCC BC teams. This dynamic and multifaceted position involves offering relief and assistance to the reception team, supporting the Advancement team with donor engagement, database management, event coordination, and assisting the Programs team with administrative and service-related tasks. Additionally, the role extends to collaborating with the Social Enterprise, Executive Support, and Administration teams to manage tasks, improve processes, and execute projects.
Each day, the Administrative Assistant exemplifies MCC BC’s core beliefs, values, and mission, fostering positive and professional interactions with colleagues, visitors, donors, and stakeholders while delivering well-organized, proactive, and dependable support to ensure the success of MCC BC’s initiatives.

  • Missional commitment: this role requires a demonstrated commitment to: a personal Christian faith and discipleship; active participation in a Christian church or Christian community; and nonviolent peacemaking. This role commits the employee to working collaboratively to create and maintain an organizational culture that prevents and responds to situations of abuse of power (sexual harassment, child abuse, racism, exploitation, and fraud among other situations). This role participates in devotional and prayer times at MCC BC and/or at local church and faith gatherings, being prepared to answer inquiries about MCC BC’s mission and values. This role contributes to a positive workplace culture based on Christian beliefs and values, while modelling nonviolent peacemaking in the workplace, in the community and the church through respectful interactions with others. This role requires adherence to MCC BC’s Code of Conduct, policies, practices, and procedures, including Workplace Health and Safety.
  • When you work: this position operates primarily within general office hours of 8:30 – 4:30 pm, Monday to Friday. This role may require extended, after or holiday hours to support special organizational initiatives, as necessary.
  • Where you work: this position is located primarily at MCC BC’s Abbotsford head office.
  • How much you work: this is a full-time salaried position working 37.5 hours per week. Supporting special organizational initiatives may require working extended, after or holiday hours, as necessary.
  • Pace of work: this position will work in a busy office environment, responding to multitude and variety of requests as they come in and with some project deadlines.
  • Physical conditions & requirements: this position may require up to 100% computer-monitor time.
  • Interactions with vulnerable populations: this position will have low interactions with vulnerable populations.

EDUCATION, EXPERIENCE, & ACCREDITATIONS

  • A certificate, diploma or degree in business or commerce

  • Minimum 1 year of relevant office or administrative experience

  • Or some combination of education and some experience

TECHNICAL COMPETENCIES

  • Proficient and advancing expertise in utilizing modern office technologies, including MS Word, MS Excel, MS PowerPoint, MS Teams, MS Outlook, and web browsers

  • Skilled in delivering welcoming, professional, and accurate responses to inquiries through written communication, phone calls, and in-person interactions

  • Developing proficiency in operating standard office equipment, such as telephone switchboards, photocopiers, scanners, and cutting machines

  • Familiar with and gaining proficiency in entering and managing data within databases accurately and efficiently

TEAM & OPERATIONAL COMPETENCIES

  • Proficient in collecting, prioritizing, and managing competing projects, requests, and priorities with a high level of organization and adaptability

  • Skilled at building effective relationships across MCC BC’s teams, using influence and persuasion to achieve successful collaboration with functional experts and senior managers

  • Familiar with and developing proficiency in participating in cross-disciplinary projects and initiatives

  • Demonstrates systems thinking to design and implement sustainable, transparent, and efficient processes that benefit the organization as a whole

JOB REQUIREMENTS & LICENSING

  • Legally able to work in Canada
  • Satisfactory criminal record clearance (required upon hire)
  • Valid BC Driver’s Licence along with a satisfactory Driver’s Abstract

Key Responsibilities

ADMINISTRATIVE & ORGANIZATIONAL SUPPORT

  • Provide general office assistance, as requested and required, to all of MCC BC’s teams, including Advancement, Programs, Reception, Executive Support, Social Enterprise, Finance, Human Resources, Information Technology, and Facilities

  • Other Administrative and Organizational Support duties assigned by the Executive Coordinator or MCC BC senior leadership

DATABASE ENTRY & ASSISTANCE

  • Accurately and efficiently enter data into databases to support a variety of departments

  • Where directed, update and correct data in databases

  • Produce reports from data sources to support organizational decision makers

RECEPTION & INQUIRIES

  • Welcome visitors to the MCC BC office, answer and direct incoming phone calls, and respond to mail and email inquiries, including providing scheduled and spontaneous relief to other reception team members

  • Respond to first-level donor inquiries by phone, email or in-person, collaborating with members of the Advancement team where required

  • Using established processes, contact donors, customers or other stakeholders by phone or email to provide information or thank them for their support

TEAM & EVENTS SUPPORT

  • Help prepare office spaces and tools for team member use
  • Assist team members in planning, preparing, and executing internal and external events
  • Assist with set up and take-down of internal and external events

Salary Details

. $46,300-$50,000 annually. Placement within this range will be based on qualifications.
