Job Summary
The Operations Coordinator for the National Operations Centre is responsible for air and ocean freight forwarding operational tasks at a national level. This role is related to compliance as well as end to end freight operations. They will be expected to execute accurate data entry and complete documentation, coordinate timely releases, and ensure compliances in all aspects of the process.
Duties and Responsibilities
- Process e-manifest.
- Coordinate shipment tracking.
- Prepare and distribute documents.
- Process shipment using Nippon Express operating systems.
- Coordination with internal departments, brokerage teams, Nippon Express warehouse personnel, external vendors, other agents, as well as any Nippon Express overseas offices.
- Arrange vendor payments and secure shipment release.
- Arrange and monitor shipment deliveries.
- Ensure compliance and utilize required software programs to enter and submit information.
- Verify all required information.
- Enter necessary information in operating systems and obtain and distribute documents require for customs clearance.
- Follow up with cargo irregularities.
- Maintain company standards and procedures.
- Follow company policies.
Qualifications
- Experience in the freight forwarding industry.
- Shift and weekend work hours are required.
- Prior knowledge and experience in the freight forwarding industry, specifically handling ocean cargo.
- Knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Competency with the English language including the meaning and spelling of words, rules of composition, and grammar.
- Knowledge of basic procedures relating to exporting and importing goods from and to Canada
- Ability to manage one’s own time and prioritize tasks based on time sensitive demands.
- Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Comfortable communicating with others, including colleagues, and outside vendors.
- Ability to identify complex problems and review related information to develop and evaluate. options and implement solutions.
- Capable of providing quality service by understanding the needs and requirements.
- Ability to remain calm in stressful situations, work under pressure and meet deadlines.
- Basic knowledge of Microsoft Office products, including Excel and Word.
Educations/Certifications
- Minimum College Diploma or equivalency certificate and/or relevant working experience.
Location and Work Environment
- Office environment, not subject to noise or significant hazards
- Occasional entry into warehouse facility, elevated noise and traffic
- Some stress related to time sensitive shipments and strict deadlines
