Position Details

The University Secretariat Office is responsible for the management and governance processes of all governing bodies of the University of Lethbridge being the Board of Governors (administrative body) and General Faculties Council (academic governing body), policies, and Dean’s Council (advisory to Board and GFC) as well as Senate. The office supports all the work of these bodies, their standing committees, and their members in ensuring the major decisions and decision makers are supported.

This position is supervised by the Director, University Secretariat and must support the administration (scheduling and logistics) of all this work on tight deadlines, while ensuring accuracy and timeliness of information. This position works closely with the Governance Analyst and also as part of a collaborative team to support other areas as assigned (currently the administrative work of the Vice-Provost (ABC), and others as may be assigned).

Specific duties include, finding meeting time, booking rooms and/or virtual platforms, catering, budget tracking, assisting with document compilation, managing correspondences, updating websites, managing SharePoints, managing travel, assisting with honorary degree scheduling, event planning such as Chancellor’s Dinner, and other Senate Engagement events

The University of Lethbridge is undertaking a job classification and compensation review for Exempt Support Staff (ESS) positions. As such, the salary range currently assigned for this position may be adjusted as a result of this project.

Position Qualifications

  • Minimum diploma (degree preferred) with 2 years experience, in scheduling and meeting/event management.

  • Organization skills, attention to detail, and high proficiency in MS Office Suite, Zoom, Qualtrics, DocuSign.

  • The successful candidate will be required to provide a satisfactory Criminal Record Check.

Starting Salary Range (at 1.0 FTE)

$5,229.28 - $5,809.49 monthly

Full Salary Range (at 1.0 FTE)

$5,229.28 - $6,389.70 monthly (ESS - Grade 10)
