Position overview
As Production Department Coordinator, you will be an integral member of the Broadcast Production team by providing updates on monthly spending and ensuring accurate billing and project documentation. This role will collaborate with and support our broadcast production team and regularly liaise with finance and accounting teams, handling daily administrative responsibilities while also contributing to ongoing process refinement. There is opportunity for this position to expand into a production-related capacity, contributing to shoot organization alongside producers.
Responsibilities
- Manage all freelance bids and billing, including organizing, tracking and processing.
- Pursue outstanding key project details related to invoices, estimates and comp reports.
- Track budget actuals, revenues and reconciliations through detailed review of transactions and supporting documentation, troubleshooting and resolving any discrepancies.
- Help update and maintain various internal systems and trackers.
- Monitor financial processes to ensure accuracy, and help prepare monthly, quarterly and year-end financial reports and income statements.
- Assist team with other administrative duties related to production jobs, as required.
- Support with vendor onboarding and management.
Qualifications
- Detail-oriented with excellent organizational skills.
- Ability to balance multiple tasks and prioritize, ensuring timely and accurate reporting.
- High-level of proficiency in Microsoft Office and data entry. Working knowledge of Microsoft Dynamics is an asset.
- 1-2 years of experience as a production coordinator or assistant role, with an understanding of production workflows.
- Proactive approach to problem-solving.
- Comfortable dealing with confidential information.
- Effective written and oral communication skills.
Additional information: The salary range for this position is $60k-$65k Actual salary within the salary range will be based on a variety of factors including relevant experience, knowledge, and skills.
