International Student Fees Advisor, Enrolment Services
About the role
The Enrolment Services Team in the Office of the Registrar is currently seeking a Full-time Regular International Student Fees Advisor.
The International Student Fees Advisor is a supporting member of the collaborative, student-centered Enrolment Services team. This role provides specialized guidance on financial aspects of international student programs, retention initiatives, and undergraduate international experiences. The ISF Advisor supports student advising, processes financial assessments and adjustments in accordance with approved fee structures, and ensures international student fee assessment and records are accurate and updated in alignment with university policies and timelines. The incumbent develops and manages targeted communications for international students, as well as financial workshops and seminars in collaboration with other campus partners.
Reporting to the Manager, Student Fees, Enrolment Services, the International Student Fees Advisor works independently within a dynamic, high-volume environment that delivers critical student fee advising and services. The role supports the international student fee cycle, including assessment and reporting for programs administered through Global Learning, including Group Study and Exchange programs. The position requires strong organizational and time management skills, sound judgment, and the ability to make informed decisions and solve problems effectively. Exceptional communication and interpersonal abilities are essential for supporting detailed advising to students, staff, and faculty, particularly when developing new operational processes for international programs and initiatives introduced throughout the academic year. Demonstrated efficiency and a high level of confidentiality are also critical to this role.
Summary of Key Responsibilities (job functions include but are not limited to):
This role serves two main purposes. The primary purpose of this position is to evaluate and execute student financial assessments of international program charges on the student account and support accurate, positive student advising via multiple modalities, advising/administrative functions. The secondary element to this role is to support a key body of work (being a Subject Matter Expert) in international program assessments both supporting the functions as well as presenting and integrating the enrolment services lens in that body of work through meetings, presentations and projects, etc.
Supporting Student Fees Advising
- Utilize the university calendar to advise on policies and regulations related to international program initiatives, including Global Learning (group study, exchange programs, study abroad), fee schedules, and payments.
- Provide quality service and advice, contribute to a supportive advising team, and identify opportunities to improve services for students and colleagues.
- Advise departments and students on financial accounts for international programs (deposits, payments, credits, debits, refunds, funding) and provide appropriate resources or referrals as needed.
- Troubleshoot account issues related to fee assessments, payment plans, and communicate across all modalities.
- Maintain foundational advising knowledge and develop subject matter expertise in key portfolio areas (international programs, assessment, fees, retention, communications).
- Act as internal liaison for matters related to area of expertise and perform specialized duties supporting the student cycle.
- Lead training for new staff and provide regular updates for the team; attend meetings, presentations, and workshops related to area of expertise and report back as needed.
- Independently review and recommend enhancements to websites, student communications, policies, and procedures.
- Audit student assessments for accuracy; ensure program deposits are posted correctly in PeopleSoft prior to each program and term cycle and maintain notes for future reference.
- Liaise with colleagues and departments regarding approved international program fees, dates, and deadlines; inform Manager, Student Fees and Enrolment Services advisors of workflow or program changes impacting student communications.
- Request refunds on student accounts as approved by the Manager, Student Fees or Assistant Registrar.
- Support retention initiatives and other duties as assigned.
International Student Fee Evaluation and Administration
- Accountable for the administration of university international fee assessments related to specific student programs (Global Learning, including Group study, study abroad, exchange programs) for undergraduate students; assessment of program deposits, notifications, including manual assessment for individual and group posts of fees throughout the academic cycle.
- Works in collaboration with UCalgary international partners, programs, faculties, departments, and Finance ensuring the student financial assessment is correct and actioned in a timely manner in accordance with Global Learning program terms and regulations provided.
- Advises students and program leaders, departments and faculties of the financial actions that have been administered in an accurate, efficient and timely manner with the goal of building and nurturing strong working relationships.
- Post charges related to administrative fees at the University of Calgary.
- Continuously balance and uphold all financial audit compliance guidelines daily.
- Ability to review, identify and report financial on the student account.
- Collaborates with Manager, Student Fees in oversight of the implementation, expansion and automation of Global Learning program deposits, including system development needed in the student center and in the student financials module to support international programs and communications in an effective and efficient manner.
- Cooperates with Manager, Student Fees in oversight of the communications to international students, including working with program partners and routinely meeting to review.
- Requests creation of new item types, deposits and program fees and compilation of all relevant agreements, notices, reporting, processing and follow-up as needed.
- Collaborates with the Student Financials business analyst on creation and maintenance of item types, including requesting new item types, item type updates (description information), charge priority changes.
- As updated documents or instructions are received from international program initiatives that are approved, or as operational changes warrant, conducts ongoing documentation, maintenance, including updating job aids and notes related to all functions of the role.
- Tracks metrics of international programs and activities that support projects and maintenance.
- Completes ongoing review of outstanding fees (deposits) and reports to leads of each international program in a timely manner and provides to the Manager, Student Fees.
Financial Reporting and Data Analysis
- Generates weekly reports of students who have applied to an international program or experience to track deposits paid or outstanding fees and provide notice to key campus partners.
- Tracks and reports international student fee payment compliance via student¿s career, home faculty and other key metrics to ensure payment compliance and identify risk factors for high risk students.
- Provides support for programs for student notifications and reminders of payments (deposits and final payments) to be in good standing to access international programs.
- Provides summary of reports, and information and support as required by management.
Presentations, Communications and Student Advising
- Creation and presentation of student processes and information to student populations related to international student programs, fee processes.
- Ability to manage multiple modes and technology to execute presentations, webinars and engagements.
- Ability to create and manage target communications and surveys to key international population groups.
Qualifications / Requirements:
- Undergraduate degree required.
- Candidates must demonstrate firsthand international student experience by having completed their degree as an international student.
- Three years experience within the Office of the Registrar or Student Services unit in post-secondary required.
- Highly proficient with Microsoft Excel; possessing the ability to use spreadsheets, tables, calculations, and automation efficiently to process, analyze and package data relevant to business tasks assigned.
- Experience with Microsoft Office applications (Word and Outlook, Teams).
- Enhanced ability to work with technology -- experience with PeopleSoft (PS) Student Information system required; an aptitude for using technology to improve efficiencies and streamline processes.
- Demonstrated organizational, analytical and problem-solving skills.
- Ability to independently and effectively meet deadlines while ensuring accuracy, completeness and attention to detail.
