Responsibilities
The Program Coordinator (Undergraduate Surgical Education) plays a central role in supporting the day-to-day administrative and logistical functions of undergraduate surgical education, working closely with the Associate Director of Undergraduate Surgical Education, London Surgery Clerkship Site Directors, and the Education Manager, within the Department of Surgery, Schulich School of Medicine & Dentistry (SSMD). The role supports the planning and facilitation of medical student educational activities and initiatives that are aimed at providing students on surgery with the best possible learning experiences, and will be responsible for undergraduate surgical education administration, including student scheduling, assessments and evaluations. The Program Coordinator oversees the Elentra software for undergraduate surgical education and serves as the undergraduate surgical education resource specialist, ensuring that faculty, residents, staff, and students have the necessary support, information, documentation and resources required. The role uses operational funds within set budget limitations and under the supervision of the Education Manager, and assists with curriculum design, implementation, continuous improvement, and expansion of program offerings.
Qualifications
Education:
- University Undergraduate Degree in a related field (Business, Administration, Education, etc.)
- Masters of Education preferred
Experience:
- 5 years’ experience providing administrative support and coordination in an education environment required
- Experience providing staff supervision and project coordination required
- 5 years’ experience in an academic medical setting that emphasizes extensive involvement with medical students and academic staff in a senior administrative capacity preferred
- Experience with curriculum development preferred
- Supervisory experience within a University or a unionized environment preferred
Knowledge, Skills & Abilities:
- Demonstrated knowledge of Adult Learning Principles and Instructional Design
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Interpersonal skills to liaise with students, staff, faculty and other members of the Western Community
- Proven ability and natural inclination to interact with people in a professional, respectful, and diplomatic manner
- Ability to address stressful or emotional situations with tact, and the ability to maintain confidentiality regarding sensitive information
- A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills
- Ability to write clear, concise, and accurate documentation
- Ability to apply creativity, innovation, and resourcefulness to daily work
- Capacity to support and demonstrate openness to persons of diverse backgrounds and beliefs and the capacity to consider issues from the perspective of others
- Ability to work independently and effectively as a member of the team to achieve the department’s undergraduate surgical educational strategies, goals, and initiatives
- Ability to multi-task and maintain an organized and effective personal work environment
- Attention to detail with an ability to retrieve, analyze and synthesize sizable amounts of data
- Commitment to ongoing professional development with a desire to take on new challenges
- Ability to work within a flexible schedule to accommodate educational activities and meetings
- Ability to plan and manage educational events of various sizes
- Intermediate computer skills in Microsoft Office, Zoom, with experience in using evaluation software (such as Elentra)
