Job Overview:

The Executive Assistant will provide high-level administrative support to the Ambassadress, ensuring the smooth operation of activities in philanthropy, arts and entertainment, and family office management. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Duties and Responsibilities:

Philanthropy

  • Coordinate and support philanthropic initiatives by liaising with non-profit partners, donors, and stakeholders, and tracking program activities and outcomes.
  • Assist in planning and executing arts and entertainment events connected to charitable initiatives, coordinating with artists and industry professionals.

Social Media

  • Support social media activities and content management, including coordinating posts, and assisting with digital communications.
  • Assist with content coordination related to events, philanthropic initiatives, and organizational updates across social media platforms.

Project Management

  • Provide comprehensive administrative support, including calendar management, meeting coordination, correspondence handling, and preparation of reports, presentations, and documents.
  • Maintain organized filing systems and ensure accurate record-keeping across all areas of responsibility.
  • Oversee confidential family office tasks, including management of household staff, vendors, family calendars, travel arrangements, and special personal projects.
  • Support hotel acquisition efforts through research, analysis coordination, due diligence administration, documentation management, and assisting with negotiation and closing processes; monitor performance of acquired properties.
  • Act as a liaison between the Ambassadress and internal/external contacts, ensuring efficient communication, timely information flow, and follow-up on key action items.
  • Provide support in venture capital activities by researching and evaluating investment opportunities, collaborating with entrepreneurs and VC partners, and assisting with pitch materials or presentations.
  • Perform additional duties as assigned by the Ambassadress/Chairwoman.

Qualifications and Requirements:

  • Education: College/University degree in Business Administration or similar.
  • 5+ years of experience in a similar role.
  • Exemplify effective communication, organizational skills, and meticulous attention to detail.
  • Proactive, energetic, and adept at time management, with a keen aptitude for rapid learning.
  • Proficient in multitasking and managing confidential information with discretion and professionalism.
  • Ability to conduct thorough research with minimal direction, showcasing resourcefulness and initiative.
