PROGRAM ADMINISTRATOR (FELLOWSHIPS)

OBSTETRICS AND GYNECOLOGY

This position is supporting the Academic Department of Obstetrics and Gynecology within McMaster University and is sited at McMaster University Medical Centre.

The McMaster University Department of Obstetrics and Gynecology is a large multi-site department with over 100 geographically distributed full-time, part-time clinical and adjunct faculty located at two fully-affiliated teaching hospitals, community teaching hospitals and other distributed education sites. About the Role:

The Fellowships Program Administrator is accountable for developing, implementing, and maintaining the efficient operation of an academic program or department, and is responsible for providing overall administrative direction, including; coordinating all aspects of the program such as curriculum administration, implementation, promotion, onboarding of staff and Fellows, resource management, team leadership, and financial management.

Job Summary:

The Program Administrator is accountable for developing, implementing, and maintaining the efficient operation of an academic program or department. The Program Administrator provides operational and administrative leadership in support of program delivery, accreditation, and compliance requirements. The incumbent coordinates committee activities, prepares and maintains documentation, and supports leadership, faculty, postgraduate administrators, and fellows. The role is also accountable for monitoring project timelines, and ensuring the effective flow of communication among partners.

Representative Duties & Responsibilities:

  • Reporting to the Director of Administration, the Program Administrator will work in partnership with Fellowship Program Directors to support the operational and academic administration of individual Fellowship programs.

  • Provide administrative direction regarding the goals and objectives of the program by examining, reviewing, and assessing long-term and immediate needs.

  • Identify and analyze problems with the program and prepare recommendations for review and approval by the Program Director.

  • Collect, analyze, assess, and summarize information relevant to the decision making process and develop recommendations for final approval and implementation.

  • Counsel learners to ensure that they understand that course and program selections adhere to established academic, prerequisite, and graduation requirements.

  • Provide current and prospective Fellows with information regarding program policies, application processes, and program expectations.

  • Collaborate with faculty and academic departments to stay informed on curriculum developments and program modifications.

  • In partnership with PGME, and the Program Director, serve as the liaison with external government agencies and international sponsoring bodies to coordinate funding, documentation, reporting requirements, and compliance for sponsored Fellows.

  • Plan and coordinate arrangements for annual events and meetings through development estimates of time, resources, and budgets for various program activities and events.

  • Implement and maintain the program budget. Create financial projections and makes adjustments to the program budget throughout the fiscal year.

  • Act as a mediator between faculty, PGME, and Fellows when dealing with various issues, including but not limited to, special accommodations, scheduling conflicts, evaluations, etc.

  • Demonstrate flexibility and adaptability in supporting the development and implementation of new programs and initiatives as the department continues to grow and evolve.

  • Gather and compile information required for a variety of documents and reports, including but not limited to, program accreditation, appointments, policy review, committee meeting minutes, etc.

  • Provide administrative support to the Department's Associate Chair of Education.

  • Create, update, and maintain content for the program website.

  • Review and evaluate academic records to ensure learners are eligible for the program

  • Facilitate learning environment surveys to ensure that academic programs are meeting the needs and objectives of both the Fellows and the program.

  • Oversee and coordinate education events, tutorials, academic half-days and other learning and research initiatives.

  • Develop, plan, and coordinate rotation schedules for Fellows at multiple sites.

  • Establish and maintain accurate electronic and physical filing systems, including the ongoing management and updating of program databases.

  • Set up, use, and troubleshoot teleconferencing and videoconferencing equipment.

Leadership:

  • Provide direction to others on how to carry out work tasks.
  • Provide orientation and show procedures to others.
  • Ongoing responsibility for supervising the education team.

Qualifications:

  • Bachelor's degree in a relevant field.
  • Requires a minimum of 3 years of relevant experience.
