Job Summary
Patient partnership is a core value of UBC Health. The Community Engagement Coordinator in the Office of the Vice-President, Health is responsible for building capacity to advance UBC Health’s commitment to fully integrate patient and community expertise and lived experience across its collaborative health education, research, and system change activities. The Community Engagement Coordinator strengthens and supports UBC Health’s existing partnerships with the community, and builds and maintains new relationships. The Coordinator plans, co-develops, and implements processes for the recruitment, orientation, and support of patient and community members engaged in UBC Health activities. The Coordinator facilitates a cooperative process to create a collaborative network of individuals and organizations to partner with UBC Health in establishing a new team-based teaching clinic and centre for innovation in collaborative health education and team-based care. The incumbent works with the Patient and Community Partnership for Education (PCPE) and others to identify and establish connections with community organizations and develop educational resources that support their participation in various roles across the education continuum, from classroom to clinic.

Organizational Status
UBC Health is responsible for driving the vision of the Vice-President, Health portfolio by promoting an integrated approach to collaboration among all health programs at UBC and with external partners in the health sector, including patients and community organizations. UBC Health reports to the Office of the Vice-President, Health and serves as a resource to all health disciplines at UBC. The Coordinator reports directly to the Assistant Director, Patient and Community Engagement and receives high-level strategic direction from UBC Health Directors. The incumbent works in close collaboration with other members of the team in the Office of the Vice-President, Health, as well as faculty and staff members from various academic and administrative units, and a wide range of partners internal and external to UBC, including Indigenous partners, patients, caregivers, government, health system partners, non-profit organizations, and other interest-holders across the Lower Mainland and throughout BC.

Work Performed

  • Acts as the key liaison and primary support for patient and community partners by planning and managing recruitment, onboarding, guidance, relationship-building, acknowledgement, and recognition of Experts by Experience (EBE) across UBC Health initiatives.
  • Responsible for identifying, developing and implementing strategies for patient and community engagement, support, and recognition.
  • Provides expert advice and makes informed recommendations to UBC Health leadership to advance patient and community engagement efforts across UBC Health initiatives.
  • Mentors team members to ensure best practices around patient engagement are exercised.
  • In collaboration with community partners, creates and maintains a collaborative network of patients and community organizations willing and able to partner with UBC Health and UBC’s health professional programs, including building capacity in distributed learning sites to deliver patient-engaged interprofessional education.
  • Provides strategic support for patient involvement in the new team-based care teaching clinic and the new centre for innovation, including patient onboarding, governance, education, and research activities.
  • Identifies opportunities for workshops that support patients in their involvement in the teaching clinic, including best practices for feedback from patients to students on placement at the clinic.
  • Provides recommendations for the evaluation of patient involvement in the clinic, and identifies stakeholders to include in the development and implementation of evaluation processes.
  • Builds new and sustains existing relationships with community organizations, using guiding principles for patient engagement, diversifying partnerships, and recruiting and supporting participation from equity-denied groups (e.g. people who are marginalized or vulnerable, or those from rural and remote areas).
  • Develops promotional materials, such as brochures, posters, web and social media posts, videos, handbooks, and newsletter articles, suitable for the general public that describe opportunities for involvement in UBC Health activities.
  • In collaboration with community partners, plans, develops, delivers, facilitates, and evaluates information sessions, orientations, and debrief sessions to support organizations, patients, and caregivers to participate in UBC Health activities.
  • In collaboration with community and faculty partners, identifies appropriate educational roles and needs and co-develops educational resources, such as workshops and training guides, to support participation in teaching, learning, curriculum development, assessment, and other educational activities.
  • Assesses, co-develops, and co-leads the implementation and evaluation of policies and guidelines related to patient and community partnerships.
  • Contributes to scholarly activities and the development and dissemination of resources to facilitate patient involvement in education (e.g. drafting manuscripts for academic journals, presenting at conferences, developing program evaluations, etc.).
  • Explores the development of a local network of researchers in the field.
  • Identifies and researches opportunities for potential partnerships with patients and community organizations that align with UBC Health strategic priorities.
  • Performs other related duties as required.

This position may be required to work outside regular office hours.

Consequence of Error/Judgement
The Community Engagement Coordinator is required to exercise high degrees of maturity, autonomy, and independence while undertaking all responsibilities and working under broad guidelines. Lack of tact, diplomacy, or sensitivity, and poor decision-making in dealing with local communities could potentially result in missed opportunities, damaged relationships, and loss of trust. The work involves building and maintaining equitable relationships with vulnerable populations, who are desired partners by the university, and requires attention to real and perceived barriers to participation, including tokenism, power dynamics, stereotyping, systemic racism, exploitation, and other inequities. The incumbent must understand and exercise the principles of confidentiality and best practices for Indigenous, patient and community engagement, including continuous learning and adapting these practices to ensure they are respectful, inclusive, and equitable. Inappropriate actions, errors in performance, or indiscretions in judgment can have negative impact on UBC Health and the University, and may result in legal action, negative public relations, financial repercussions, and loss of credibility in UBC Health’s ability to demonstrate value in the areas of collaborative health education, research, and health systems.

Supervision Received
Reports directly to the Assistant Director, Patient and Community Engagement. Coordinates work under the broad direction of the Directors and Assistant Directors. Works with considerable latitude and minimal supervision. The incumbent must be self-directed and able to work independently, identify circumstances that require consultation with appropriate colleagues, and seek out such consultation in a timely and professional manner. Work is reviewed periodically to assess performance and ensure completion of project milestones.

Supervision Given
The Community Engagement Coordinator may supervise student workers and provide direction to support staff.

Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Graduate degree in a relevant discipline an asset. Minimum of five years of related experience or equivalent combination of education and experience.

  • Experience related to community-organizing, community development initiatives, community-based research/experiential learning, or other community engagement roles dealing with senior managers, local communities, stakeholder groups, and the general public an asset.
  • Experience working with diverse stakeholder groups and across diverse cultures.
  • Demonstrated ability to work in collaboration with others to develop engagement plans and processes, and implement innovative solutions to problems.
  • Experience building relationships with all levels of an organization, community leaders, and individuals, and ability to establish a high level of rapport, exercise judgement and sensitivity in presenting issues.
  • Ability to facilitate groups to achieve appropriate outcomes, and develop and deliver effective presentations and workshops.
  • Experience in developing innovative approaches to consultation, including in-person, online, and through the use of social media.
  • Excellent written and oral communication skills.
  • Excellent organizational skills including time management, efficient management of email correspondence, and ability to determine the nature and urgency of inquiries and issues.
  • Ability to work effectively independently and in a team environment.
  • Demonstrated ability to effectively use MS Office and videoconferencing technologies at an intermediate/advanced level (e.g. Outlook, Word, Excel, PowerPoint, Publisher, MS Teams, Zoom, etc.).
  • Experience using website platforms (e.g. Drupal, Wordpress), website design, creative applications, survey and polling applications (e.g. Qualtrics, Doodle), and content management systems.
  • Experience working with social media platforms and managing a social media presence.
  • Experience in fundraising an asset.
  • Ability to work flexible hours, including evenings.
  • Ability to travel on occasion to locations in the Lower Mainland and across the Province to attend meetings and events as required.
