About the role

Norton Rose Fulbright Canada LLP is currently seeking a Receptionist/Office Services and Facilities Clerk to work in the Office Services and Facilities group in our Toronto office from Monday to Friday between the hours of 10:00 a.m. – 6:00 p.m. As such, you will be the first point of contact for those who visit the Toronto office. You will ensure that customer service is front of mind during all interactions whether it be over the phone or in person. The successful candidate will report to the Office Services and Facilities Team Lead.

Please note this is a 1-year temporary contract role.

You Will Be Focusing On

  • Maintain a professional and polished appearance that reflects the firm’s standards and creates a welcoming environment for visitors and staff on the conference floor
  • Receive and relay incoming calls and deliver messages as necessary
  • Handling of items received at Reception and use best judgement to prioritize sensitivity
  • Coordinate scheduling of conference and meeting rooms, liaising with the hospitality and technical team as required
  • Keep and update the visitor log and issue temporary security passes to staff as necessary
  • Assisting the Business Solutions Centre (Mailroom/Copy Production) team when and where necessary
  • Assisting the Catering team when and where necessary
  • Booking restaurant reservations (for large groups), purchasing gifts for clients and/or staff when required (e.g. pre-packaged baskets, flowers, etc.)
  • Perform various related administrative tasks for the OS&F team, which may include preparing invoices for approval, running reports on meeting room utilization, and posting internal communications

What You Bring To The Role

  • Previous work experience in a receptionist/administrative position, in a professional services firm
  • Passionate about delivering exceptional service to ensure an exceptional client experience
  • Possess excellent customer service skills with the ability to communicate effectively with all levels of staff and our clients and guests
  • Demonstrates a solutions driven approach with the ability to anticipate clients' needs
  • Experience or a familiarity with handling concierge type tasks (e.g. being knowledgeable about the area, good restaurants, where to buy tickets, etc.) would be an asset but not required
  • Solid computer skills, including experience with Microsoft Office and EMS room management software or another similar boardroom booking program
  • Experience dealing with confidential issues in a discrete manner is essential
  • Ability to succeed in a team-based environment as well as excel independently
  • Strong organizational skills and attention to detail
  • Ability to juggle multiple tasks in a time sensitive environment
  • Embraces change, collaboration and teamwork and can be flexible with working hours
