Summary

The Service Administrator (SA) is responsible for all aspects of service delivery, as directed by Management and/or Administrative Coordinator. This position is the key interface between the customer, service provider, Operations Centre and internal CBRE/A FSI service delivery personnel. The SA ensures all relevant information is maintained and that all necessary communications are maintained. The SA is responsible for first line management of work orders, purchase orders, systems data, and related administrative duties such as compiling reports. The SA works according to established guidelines as set out by Management and/or Administrative Coordinator.

Key Duties and Responsibilities

  1. Processing service requests received by telephone, e-mail and maintaining a database of such requests to meet reporting and analysis

requirements

  1. Review of demand work orders to determine if billable or non-billable

  2. Preparation and communication of PO’s to managers and suppliers; receiving of PO’s to approve payment for work completed at the

correct cost, where applicable and practicable.

  1. Administrating and monitoring service contracts and reviewing vendor/contractor performance and value for cost

  2. Establishes and maintains working relationships with Clients and service providers

  3. Responsible for supporting and training new Team Members in SA role.

  4. Responsible for acquiring information for vendor setup, including security clearances for new vendors.

  5. Support environment, health and safety process as required basis

  6. Support the Quality Management program by providing reporting from systems as needed.

  7. May be responsible for the collection of technical data and the maintenance of databases

  8. Generates regular and ad hoc reports for the portfolio, as required

  9. Researches and coordinates data to prepare Work Orders and Requests for Approvals and Services;

  10. Processes invoices including checking for accuracy and forwarding for approval;

  11. Receives cheques for contract documents, Performance Bonds, Statutory Declarations, and Certificates of Insurance;

  12. Other duties as assigned.

“The successful candidate will be required to attain and maintain a valid and active RCMP Enhanced Security Clearance (ERSC). Please note, a condition for attaining an Enhanced Reliability Security (ERS) clearance includes the condition that applicants must have lived in Canada a minimum of five years to apply for ERS.”

LICENSES AND/OR PROFESSIONAL ACCREDITATION

  1. Must meet Enhanced security clearance requirements (if required)

  2. Preferred CMA/CGA/CA or minimum equivalent training and experience

SUPERVISION/DIRECTION EXERCISED

  1. Position is not responsible to provide direct supervision.

  2. Make recommendations on budget issues, accounts payable/receivable issue, expense reports and

procedures both operational and financial related to CBRE/AFSI.

PHYSICAL ASSETS/INFORMATION MANAGEMENT

  1. May operate a Company issued vehicle in alignment with CBRE/AFSI and/or any other applicable Policies

and procedures

  1. Operate and maintain equipment and use of tools in alignment with CBRE/AFSI and/or any other applicable

  1. All applicable IT assets to be used in alignment with CBRE/AFSI and/or any other applicable Policies and

procedures

FINANCIAL RESOURCES

  1. All financial decisions/purchases to be made in alignment with CBRE/AFSI and/or any other applicable

Policies and procedures

  1. Ensure timely and accurate submission of reports/transactions related to authorized expenditures

Applicants must be currently authorized to work in Canada without the need for visa sponsorship now or in the future

This is a unionized role with the BCGEU governed by a Collective Bargaining Agreement. This is a 35 hour per week position and the rate of pay for this role is $35.69/hour. This position is eligible for participation in the Public Service Pension Plan and Extended Health and Dental benefits after 6 months of service.
