Job Overview The Records and Document Control Specialist is responsible for developing, implementing, and maintaining the organization’s records and document management policies, procedures, and systems. This role ensures compliance with legal, regulatory, and operational requirements and facilitates secure, efficient access to accurate records across departments.

Key Accountabilities Working in accordance with prescribed safety procedures and regulations:

  • Develop and maintain document and records management process and governance for Laurentis
  • Support configuration of SharePoint sites document structure and permissions
  • Maintain log of records and technical documents
  • Provide compliance check and control over external deliverables prior to issuance to clients
  • Administer records and documents control
  • Ensure workflows, approvals, and transmittals comply with procedure
  • Issue external records/deliverables to clients
  • Oversee the classification, storage, retrieval, and archiving physical and electronic records.
  • Ensure compliance with nuclear standards, legal, regulatory, and contractual obligations related to records management.
  • Collaborate with IT and other departments to maintain and improve document management systems (DMS).
  • Conduct regular audits and risk assessments of document control practices.
  • Serve as the primary point of contact for internal and external audits related to
  • documentation.
  • Monitor and report on document control KPIs and continuous improvement initiatives in document control processes and systems.
  • Identify future need for process change control support and projections into business planning.
  • Develop and deliver new business processes and necessary procedures and standards to define and support processes.
  • Develop appropriate training to support the new processes inclusive of new technology.
  • Assist with long-term planning and strategy of records and information management systems and programs.
  • Manage the delivery of document management services either internally or through contracts for records, controlled documents, and document processing.
  • Train staff on document handling protocols and use of records management systems.
  • Other Duties as Required

Qualifications

  • 10-15 years’ experience in records and document control functions in technical

industries involving engineering, procurement, and/or construction.

  • Experience with EDMS platforms and document control workflows in a regulated

environment.

  • Familiarity with Nuclear standards (CSA N299, CSA N286) and regulatory frameworks
