The Saskatchewan Coroners Service has a challenging opportunity for an intermediate level administrative assistant who is a confident, highly motivated and well-organized professional and is capable of working in a fast-paced, demanding and high volume work environment. Reporting to the Supervisor of Administrative Support, you will provide administrative support to the northern coroners and to the Coroners Service staff in the Saskatoon office.

You will respond using medical and legal terminology to inquiries made in writing, in person or by telephone from lay coroners, members of the public, RCMP, municipal police services, various government agencies and stakeholders, such as funeral homes, transport services, lawyers and health professionals. This includes speaking directly with family members of the deceased who are extremely frustrated, angry, upset, grieving or distraught.

Your responsibilities will include drafting, formatting and proofreading a variety of correspondence and legal documents, creating and updating spreadsheets, aiding staff in the preparation of Power Point presentations, and maintaining paper and electronic filing systems using ARMS/ORS standards. You will verify and enter data and attach documentation into the Coroners Case Management System (CCMS). You will also be responsible for coding, verifying and reconciling invoices and expense claims in CCMS and Government Enterprise Management (GEM), coding purchase card transactions in the Bank of Montreal website while ensuring allowable expenses in accordance with the Financial Administration Manual. You will reconcile expenses to GEM reports on a monthly basis.

The successful candidate must have excellent communication and interpersonal skills and knowledge of medical and legal terminology and processes, office and administrative practices and procedures, Government financial accounting policies and practices and computer applications including advanced word processing techniques in a Windows environment. In addition, you must be able to review documents and photographs that may be of a graphic nature.

Typically, the competencies required in this position would be obtained through formal education such as an office administration program, combined with several years of administrative support experience.

This employment opportunity requires the employee to work 2 days one week and then 3 days the following week, for a total of 40 hrs over a two-week period. There will be opportunity during the summer months for additional hours and when covering vacation leave.
