SUMMARY
This position will provide general reception duties, outreach and administrative support to all staff and clients at our Language Assessment Centre locations in Peel, Halton & Dufferin Regions as needed.
DUTIES AND RESPONSIBILITIES
- Assist assessment staff and provide front desk support at Language Assessment Centres.
- Attentively greet clients and visitors to the centre and ensure they are attended to in a timely manner
- Answer phones promptly and minimize messages going to voice mail.
- Ensure that client phone messages are returned swiftly
- Schedule and monitor appointments using the HART System
- Confirm client appointments and reschedule appointments as needed
- Update client information in HARTs
- Perform a variety of clerical duties including filing, typing, photocopying, faxing, confidential record keeping, and document distribution in accordance with company policies and procedures.
- Kindly receive clients and respond to emails/phone calls in a positive and professional manner
- Actively refer client requests to appropriate staff
- Assist in the administration and monitoring of online assessments via web/portal
- Attend community outreach events as needed
QUALIFICATIONS
- Strong fluency in English and other languages an asset
- Secondary education with training in office technology
- Knowledge of Achev and other programs relating to community and settlement programs in Peel & Halton regions
- Excellent communication skills, both verbal and written, to interact with a wide range of individuals in a variety of situations which often require tact, diplomacy and discretion
- Experience in customer service
- Good interpersonal skills, cultural sensitivity, problem-solving and self-managing organizational skills
- Ability to communicate in other languages is an asset
- Computer-literate with proficiency in MS Outlook, MS Office and databases such as HARTS and statistical record keeping
- Sensitivity to the diverse needs of adult learners and the multicultural community
- Provision of satisfactory Criminal Record Check required
- Available to work in-person at Achēv sites 5 days per week
- Available to work days and occasional evenings
- Reliable vehicle and willingness to work out of multiple designated sites an asset
