##Position Summary
The Administrative Assistant – Summer Student provides general administrative and clerical support to the organization, contributing to efficient day-to-day operations while gaining practical workplace experience. Under supervision, the student will assist with office administration, communications, client engagement, and quality improvement initiatives in a supportive learning environment.
##Key Responsibilities
- Assist with general office duties including filing, photocopying, scanning, and data entry
- Answer and direct phone calls and email inquiries in a professional manner
- Prepare, format, and proofread documents, correspondence, and reports
- Maintain electronic and paper filing systems
- Schedule meetings and assist with meeting preparation, including agendas and minutes
- Support staff with day-to-day administrative tasks and special projects
- Assist with organizing records, databases, and contact lists
- Conduct outbound calls to clients to support client satisfaction surveys and quality improvement initiatives
- Accurately record and enter client feedback while maintaining confidentiality and professionalism
- Summarize feedback and identify recurring themes or issues for staff review
- Assist with basic communications such as emails, notices, newsletters, or internal memos
- Support basic website or social media updates, where applicable
- Participate in training and mentoring activities provided by the organization
- Follow organizational policies, health and safety procedures, and confidentiality requirements
- Perform other related duties as assigned
##Required Qualifications (Canada Summer Jobs Eligibility)
- Between 15 and 30 years of age at the start of employment
- Canadian citizen, permanent resident, or person with refugee protection status
- Valid Social Insurance Number (SIN) and legally entitled to work in Canada
##Skills & Competencies
- Strong verbal and written communication skills
- Good organizational skills and attention to detail
- Ability to manage multiple tasks and meet deadlines
- Basic proficiency with Microsoft Office (Word, Excel, Outlook) or willingness to learn
- Ability to work independently and as part of a team
- Professional, courteous, and reliable work ethic
##Education & Experience
Currently enrolled in, or recently graduated from, secondary or post-secondary education. Previous administrative or office experience is an asset but not required. Training will be provided.
##Working Conditions
Primarily office-based (or remote/hybrid, if applicable) during standard business hours. Some repetitive administrative tasks such as computer work and filing.
