Mailroom, Duplicating & Purchasing Support Clerk
Reporting to the Procurement & Contracts Manager, and utilizing a service excellence approach, this position provides a wide variety of support of the Mailroom, Duplicating and Purchasing areas.

Main Duties and Responsibilities
- Performs mailroom services duties including:
- receiving, sorting, processing and distributing mail for the Castlegar campus;
- arranging shipment of outgoing parcels via SendPro/Canada Post;
- processing specialized mail and maintaining records;
- monitoring postage funds;
- preparing inter-campus mail;
- assigning mailboxes to new employees;
- arranging for maintenance of mailroom equipment; and
- maintaining adequate supply inventories.
- Performs duplicating centre duties including:
- planning and prioritizing incoming print jobs to ensure efficient production and timely completion;
- programming job specifications into copiers making adjustments for quality output;
- loading required paper stocks and running print jobs;
- monitoring output for quality and correcting problems as they arise;
- troubleshooting and rectifying routine equipment issues;
- reporting equipment failures to Service Technicians;
- responding to inquiries and requests from students, staff and the public; and
- maintaining security of materials.
- Performs purchasing services duties including:
- maintaining storage area;
- providing clerical work involving spreadsheet and document preparation;
- entering goods received into Unit4;
- contacting suppliers to schedule deliveries;
- logging incoming and outgoing packages;
- preparing courier service documentation; and
- routing inter-campus goods.
- Performs other related duties as assigned by the supervisor.
Skills, Knowledge, and Abilities
- Ability to multi-task and prioritize;
- Proficiency with Microsoft Word and Excel;
- Working knowledge of duplicating equipment;
- Working knowledge of Copyright rules and regulations;
- Experience with purchasing functions within Unit4 ERP;
- Good physical condition – able to lift 20lb on a daily basis, several times per day;
- Excellent interpersonal skills;
- Excellent customer service skills;
- Excellent written and verbal communication skills;
- Excellent attention to detail; and
- Proven ability to work independently and as part of a team.
Education and Experience
- High School Graduation;
- Completion of one year of the Business Administration program or completion of an Office Administration program;
- WHMIS certification; and
- Minimum 2-3 years related experience
This is a regular, part-time (57%) position, commencing October 1, 2025. Salary will be Pay Grade 5, $29.47 per hour in accordance with the PPWC Collective Agreement.
