Job Summary This position is responsible for acting as a first point of contact/brand ambassador at the main reception for members, staff and visitors while always ensuring to provide an exceptional customer experience.

This position is also responsible for coordinating internal meeting food and beverage services ensuring quality and service levels are maintained at the highest levels and resolves any issues as required. Ensures meeting rooms are prepared to receive catered food and beverages at required times and cleaned at end of each meeting. Also ensures that all kitchenettes & meeting rooms are stocked and maintained always ensuring a clean and professional environment. Orders supplies and coordinates equipment repairs as required.

This position is responsible for coordinating part-time staff to work evening and weekend events.

This position also provides support for ad hoc Workplace Experience requests from across the organization.

Note

  • This is a five (5) day per week, (Monday – Friday) on-site position and is not eligible to participate in remote/hybrid work policies.
  • The typical working hours for this role are 9:15 a.m. to 5:30 p.m.
  • Flexibility around the typical hours may be required on occasion based on operational requirements

How you will make a difference Reception

  • Act as first point of contact/brand ambassador at reception desk, greeting and directing visitors while providing an exceptional customer experience. Ensures meeting hosts are notified of guests’ arrival and that all security measures if required, are handled in compliance with OMA protocols and policies.
  • Assists with meeting room bookings as required and is responsible for keeping the meeting rooms maintained to standards throughout the day.
  • Responsible for coordinating part-time staff to work evening and weekend events.

Catering

  • Coordinates OMA internal meeting food and beverage services ensuring quality and service levels are maintained at the highest levels and resolves any issues as required
  • Ensures meeting rooms are prepared to receive catered food and beverages at required times and cleaned at end of each meeting.

Ensures all kitchenettes & meeting rooms are stocked and maintained, always ensuring a clean and professional environment. Orders supplies and coordinates equipment repairs as required.

Facilities

  • Provide support for ad hoc workplace experience requests from across the organization.

Administrative Support

  • Provides general administrative support for other members of the People & Culture division as required.

Requirements That Are Important To Us

  • High school diploma
  • Two to three (2-3) years relevant experience
