MPG comprises of two affiliated entities: the Mount Pleasant Group of Cemeteries (MPGC) and Canadian Memorial Services (CMS). About the Position:

We are looking for an Assistant Manager, Property Services to join our team at Mount Pleasant & Pine Hills Cemetery.

The successful candidate will be required to:

Property Service Coordination

  • Assist the Manager, Property Service with:
    • Providing clear work direction to staff, including managing property upkeep, maintenance tasks, and performance expectations.
    • Ensuring high standards of client service through effective staff organization and supervision.
    • Monitoring compliance with all applicable legislation, health and safety protocols, and organizational policies.
    • Assisting, reviewing, and monitoring the annual operating budget, ensuring alignment with organizational goals and approved limits.
    • Developing and maintaining vacation schedules to ensure adequate staffing levels across operations.
  • Conduct routine inspections of property grounds, facilities, and equipment to ensure they meet organizational standards and client expectations.
  • Verify the completion and quality of maintenance tasks, including landscaping, building repairs, and general upkeep.
  • Accurately maintain employee records related to time off and attendance, ensuring compliance with organizational policies
  • Oversee and uphold adherence to organizational policies, practices, and procedures to maintain operational excellence
  • Plan, prepare, and facilitate staff and team meetings, fostering open communication and shared understanding.

Client & Community Support

  • Lead the team in providing compassionate and professional support to families, respecting the diverse cultural, religious, and personal needs of each client.
  • Respond to service requests, inquiries, or concerns with empathy and efficiency, ensuring timely resolutions to any issues.
  • Support the business unit with community organizations and stakeholders to enhance property use and community engagement.
  • Travel between work locations within the GTA to support operations and client needs as required.

Administrative Coordination & Resource Management

  • Oversee the accurate and timely completion of monthly reports, ensuring submission to relevant departments.
  • Monitor and maintain adequate inventory levels of property supplies, tools, and equipment, ensuring all items are well-maintained and in good condition.
  • Attend removals to oversee procedures and confirm compliance with policies, safety protocols, and regulatory requirements.
  • Maintain a thorough understanding of documentation processes and requirements related to the duties of indirect reports, providing guidance and oversight as needed.
  • Review and process receiving slips and purchase orders, ensuring timely submission to the accounts payable team for accurate and efficient payment processing.
  • Review and approve payroll submissions, ensuring accuracy, compliance with organizational policies, and timely submission to the Payroll Department.
  • Act as the designated representative for the Manager, Property Services during periods of absence, ensuring seamless continuity in operations.
  • Collaborate with the Manager, Property Services to collect and analyze operational data, providing informed recommendations for operating and capital budgets.

Leadership & Team Management

  • Promote a collaborative and respectful workplace by fostering positive relationships between management and unionized staff.
  • Ensure all actions comply with the terms of the collective agreement, including scheduling, task assignments, and disciplinary processes.
  • Assist with employees to address workplace concerns or grievances promptly and constructively.
  • Maintain clear and open communication with employees regarding operational changes, policy updates, or staffing adjustments.
  • Participate in meetings as required, contributing to discussions on improving workplace conditions and operations.
  • Approve payroll for employees, ensuring compliance with the collective agreement, including overtime and other applicable provisions.

Labour Relations

  • Stay up to date with collective agreements and letters of understanding, ensuring adherence to all outlined policies and procedures.
  • Document and escalate unresolved issues to the Manager, Property Services or the Employee & Labour Relations Specialist as appropriate.
  • Support training and development initiatives aligned with both organizational goals and the requirements of the collective agreement.

Other

  • Additional duties, and tasks that fall within the scope of the role as assigned by the Manager, Property Services.

Qualifications:

  • A three (3) year diploma or higher in Horticulture or other related disciplines; or equivalent combination of work experience, training and education.
  • At least five (5) years cemetery operation experience.
  • At least two (2) years of leadership or supervisory experience, preferably within a unionized environment, with a demonstrated ability to manage teams, mentor, coach, and develop staff.
  • Knowledge of turf management, Integrated Pest Management and general tree, shrub and plant maintenance as well as management of annuals and perennials.
  • Experience working with grass cutting equipment and heavy machinery.
  • A valid Ontario “G” driver’s licence with a clean driver’s abstract.
  • Experience engaging with diverse communities and commitment to equity, diversity, and inclusion is an asset.
  • Strong interpersonal skills to allow for the ability to build effective relationships within own team and with key stakeholders.
  • Excellent priority setting, analytical and problem-solving skills.
  • Strong oral and written communication skills.
  • Highly organized and able to manage multiple tasks and formulate work schedules.
  • Demonstrated supervisory/leadership and coaching skills, preferably in a unionized environment.
  • Excellent written and verbal communication skills.
  • Working knowledge of the Cemetery By-laws, and the Funeral, Burial and Cremation Services Act (FBCSA).
  • Working knowledge of On-site & Excess Soil Management regulation under the Environment Protection Act
  • Thorough knowledge and understanding of the Collective Bargaining Agreement.
  • Knowledge of Microsoft Dynamics Navision 2016 and ADP Workforce Now is an asset.
  • Intermediate proficiency of Windows and MS Excel, PowerPoint, Word, and Outlook.
  • Demonstrated cultural competence and ability to work with individuals from diverse backgrounds, including different faiths, traditions, and practices, within the context of grief and bereavement.

The Mount Pleasant Group (MPG) history stretches back to the early 19th Century, when Toronto was a small Victorian capital, known as the Town of York. Back then, only Anglicans and Roman Catholics could be buried in an “authorized” cemetery. Everyone else had to be buried outside the city. Then, in 1826, our first cemetery, Potter’s Field, was opened with the mission to accommodate all Toronto families, regardless of religion.

Nearly two centuries later, Toronto is a much different place, but our focus hasn’t changed.
