Sales & Catering Executive
The Valhalla Hotel & Conference Centreis currently looking for a hard-working team player to fill the existing position ofSales & Catering Executive. This is a temporary contract role for a 6 month period with possibility of extension. Reporting to the Director of Sales & Marketing at The Valhalla Hotel & Conference Centre, the successful candidate is expected to be self-motivated, organized, accurate, efficient, and able to multi-task and meet stringent deadlines. This position works as the department’s key Coordinator, taking care of details for client events, reviewing and updating event orders and ensuring they are complete and accurante, working to ensure internal processes are efficient, and supporting the Sales and Catering team with administrative duties. The successful candidate is someone who can multitask like a pro, is quick to learn systems and holds themselves and others accountable, and most importantly, wants to work for a company focused on achieving success.

Key Responsibilities
Reporting to the Director of Sales & Marketing(DOSM), the Sales & Event Coordinator will:
-
Perform various administrative tasks in both Sales and Catering; including billing, batch printing,
reporting, reader board entry, guarantee calls, rooming list follow ups, client follow ups and
attending catering meetings;
-
Record meeting minutes for both internal and external business planning meetings, strategy and
tactical meetings, catering meeting etc.; where required;
-
Inventory and order office supplies monthly;
-
Receive inbound calls and emails to quantify business and redirect to the appropriate team
member within the Sales and Catering department;
-
Manage inbound sales inquiries from all channels, passing any new leads developed through
contacts to appropriate Sales team member;
-
Be the properties Delphi Administrator, data entering menu items, prices, contracts and/or
changes when required;
-
Co-ordinate with various hotel internal departments related to book business to ensure
customer satisfaction;
-
Coordinate with Maverick AV for event distribution and invoicing
-
Assist Area DOSM with implementing promotional projects in assigned market areas to increase
sales volume and profitability;
-
Compile and distribute data, reports, analytics and other information to support the success of
Responding to all incoming phone calls;
-
Handle all inquiries with full completion of inquiry intake form – ensure attention to detail provided and directed to the appropriate seller for client;
-
Assisting DOSM with registering for Sales Missions, trade shows and other related events;
-
Other duties as assigned by reporting manager.
What We Are Looking For
- 1-2 years of hospitality experience or comparable sales experience, hotel environment preferred;
- Proven experience maintaining guest/client relationships and office administration;
- Diploma or degree in Hospitality Management or Business, is a definite asset;
- Demonstrated ability to interact in a team environment with several divisions/departments;
- Excellent communication skills (written, verbal, listening);
- Strong computer skills, with knowledge of Microsoft Office and Hotel Property Management Systems is an asset;
- Organized, results orientated, proven time management skills and ability to work under pressure;
- Thrives in a fast-paced environment-maintaining composure and objectivity with guests and team members;
- Working in a shared office space(s); hotel/office environment
- Interacts/Communicates with guests, public and hotel teams.
- A fast paced and ever-evolving industry with high demands to perform;
- Available to work varying shifts (morning, afternoon, some evening and weekends may be required), and overtime as required;
- Must be legally authorized to work in Canada.
