Role Description:

The Receptionist & Administrative Assistant at Oakridge Centre provides reception and administrative support and is the first point of contact for visitors and calls to the Oakridge Park campus. Reporting to the General Manager – Guest and Tenant Services, this position will support the management team and ensure the office functions run smoothly.

Responsibilities:

  • Greet all reception visitors and assist accordingly. Ensure visitors are greeted in an efficient, courteous and professional manner
  • Answer incoming calls and direct to the appropriate person. Maintain the property phone list, update the phone system program, and enable the night service function
  • Operate the radio transmitters for any emergency maintenance or security issues
  • Monitor, organize and order all office supplies
  • Ensure photocopiers, faxes and printers are loaded with paper and contact vendors for repairs and maintenance as required
  • Sort incoming mail/ cheques, stamp invoices, and distribute to mail folder
  • Enter and create all purchase orders (PO's) in Yardi; Distribute applicable numbers to vendors and staff
  • Coordinate courier and mail deliveries and track incoming packages
  • Maintain a tidy kitchen by loading/unloading the dishwasher and replenishing supplies
  • Manage setup of corporate training sessions, events and meetings, including catering, room reservation, and office contact
  • Manage meeting room(s) reservations as requested by tenants, staff and contractors
  • Provide administrative support for various mall events and functions
  • Type memos and letters
  • Complete various administrative functions and support the General Manager, Property Manager, and Operations Manager as required
  • Track daily, weekly and monthly traffic and sales and prepare reports for distribution
  • Maintain knowledge of current property activities and events to answer any inquiries
  • Maintain parking permit records and distribute to Security
  • Collect and input monthly retailer sales data by deadline and generate report for distribution
  • Maintain up-to-date Tenant Emergency Contacts and record any changes
  • Any other duties as assigned

Experience and Qualifications:

  • 2 or more years’ related administrative and/or reception experience
  • Post-secondary education is considered an asset
  • Intermediate skills in Microsoft Office (Excel and Word)
  • Strong organizational, planning and time management skills
  • Excellent oral and written communication skills
  • Strong attention to detail and organizational skills
  • Ability to prioritize workload and handle competing priorities and deadlines
  • Positive and friendly "Customer First" attitude

The expected annualized base salary range for this role is $57,000 - $63,000.

The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
