The Role:
PBS Systems is looking for a highly organized, self-motivated, and enthusiastic individual to join our Administration team as a Building & Office Assistant. In this role, you will support the administration team with day-to-day tasks and projects while contributing to the smooth operation of our office, facilities, and building-related activities.

The Building & Office Assistant plays a key role in building and facilities administration, purchasing, and shipping and receiving, helping ensure an efficient, well-organized, and welcoming workplace.

This position is based out of our Calgary head office. This is not a remote work opportunity.

Job Responsibilities:

  • Ensuring the building is well kept, clean and safe
  • Assisting with all maintenance inspections
  • Assisting with seasonal maintenance
  • Scheduling minor repairs/maintenance as needed
  • Managing small repairs as appropriate
  • Communication with onsite cleaners on a regular basis
  • Managing (maintaining stock levels and ordering new stock) of office supplies, toners, and kitchen supplies
  • Regular building checks
  • Liaison between contractors/suppliers and PBS for building maintenance items
  • Front desk responsibilities (greeting guests, making the front desk a welcoming place for new hires and guests alike, signing for packages, opening & distributing mail, coding cheques)
  • Assists with new hires, (desk/building access set up)
  • Works with multiple software programs as needed for building security, purchasing, & customer information
  • Shipping requests as needed
  • Any other duties as required

Qualifications:

  • 1-2 years of previous building administrative experience preferred
  • Shipping and receiving experience
  • Solid computer knowledge Microsoft Office Suite
  • Experience with various software
  • Strong organizational, time management, and multitasking abilities
  • Self-starter with the ability to work independently and prioritize tasks effectively
  • Excellent attention to detail and problem-solving skills
  • Positive attitude with a strong customer-service mindset
  • Strong communication and interpersonal skills
  • Excellent written and verbal communication skills
  • Ability to handle multiple priorities in a fast-paced environment
  • High School Diploma
