PROFILE

The incumbent will assist and support theDirector, Legal Talentwith the administrative and logistical aspects of student and associate recruitment, guidance, evaluation, professional training and mentoring.

RESPONSIBILITIES

STAFFING

  • Coordinate the staffing process for law students, articling students, and associates (postings, applicant database (ViRecruit), interviews, follow-ups, hiring packages, and orientation sessions):
  • Assist in preparing job postings
  • With the help of the Marketing department, assist with providing information to post on social media regarding recruitment
  • Participate in the development of strategies to maximize the firm’s exposure with students and coordinate sponsorship requests related to recruiting in law schools
  • Coordinate meetings for the Recruitment Committee and manage required logistics
  • Coordinate internal interviews and follow-up with students during the studentrecruitment process
  • Assist with all logistical and organizational aspects of recruitment activities within the firm and with different universities (i.e., career fairs, conferences, interview simulations, cocktail receptions, etc.)
  • Draft and send acceptance and refusal letters
  • Help coordinate the onboarding & orientation of new students, articling students and associates

EVALUATION

  • Use the ViDesktop software to collect and compile evaluation data
  • Prepare evaluation reports
  • Plan evaluation meetings and do the follow-up
  • Coordinate and do follow-ups related to the students’ evaluation process

TRAINING PROGRAM

  • Coordinate and manage follow-ups related to the summer and articling student training programs
  • Coordinate and do follow-ups related to the mentoring program and articling internship supervisor program with students
  • Manage the incoming correspondence from the Bar during professional internships (training type, internship agreement, evaluation forms for the internship supervisor, professional liability accreditation, internship completion accreditation)
  • Manage the continuing education process for associates and partners (make the connection between the Bar and the recognition of internal training programs)
  • Coordinate all internal meetings and training programs related to professional development
  • Coordinate ongoing mentoring and business development programs for associates
  • Participate in special projects from the professional development department, as needed

OTHER

  • Help prepare special events for law students and articling students organized by the firm
  • Manage the duty counsel rotational schedule
  • Participate and coordinate other legal talent projects and initiatives
  • Any other duties as required

QUALIFICATIONS

  • Able to communicate effectively with other firm members, with the aptitude to take care of clients’ needs in a professional and courteous manner
  • Able to apply ethical behaviour and capacity to handle highly sensitive information
  • Effective process management and planning
  • Thoroughness and a meticulous eye for detail
  • Able to be proactive, and to work independently, as well as in a team environment
  • Able to prioritize, meet deadlines and handle stress in a business-like manner
  • Able to build external partnerships and to negotiate with vendors
  • Able to adapt to various “client” profiles (academic directors in university settings, students, lawyers and partners)
  • Acute understanding of issues involved in professional services in general, and of the legal environment, in particular
  • Sound knowledge of Microsoft Office; knowledge of viDesktop and viRecruit would be an asset
