About the role
Summary of Duties:

Provide core administrative duties as determined by Platform Manager
-
Provide administrative support for 4-5 scientists including calendar management, organizing meetings, and day-to-day tasks

Assist in grant applications with regards to proofreading, budget preparation, and grant submission
-
Assist in tracking and filling in staff work hours using the UKG Dimensions workforce management platform
-
Maintain accurate records of all scientific activity (e.g. research grants held, funding applications, publications, abstracts)
-
Maintain all CVs in various formats including the Canadian Common CV
-
Organize seminars for scientists, staff, visiting speakers, and collaborators
-
Organize scientists’ travel to national and international conferences, workshops, meetings, associate editorships, granting agency committee work, and graduate courses
-
Manage expense reports, reconcile monthly financial statements, prepare reimbursement claims, and ensure all documents are complete and handled in a timely fashion

Manage purchases for scientists and their labs
Qualifications:
- University degree or Business Secretarial Diploma
- 3 years of office administration experience within a university or research environment preferred
- Excellent written and oral communication, management, and organization skills
- Superior grammar and proofreading skills; accuracy and meticulous attention to detail
- Ability to produce high quality work and to work well under pressure to meet multiple deadlines
- Knowledge of Canadian Common CV (CCV), Refman or Endnote, and Adobe Acrobat
- Advanced knowledge of office software including Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Demonstrated strong initiative, good judgment, and makes decisions within the scope of assigned authority
- Ability to work effectively and professionally, both independently and within a team environment
