Position Summary:
Under the direction of the immediate supervisor, the Casual Program Assistant provides temporary support to the Exam Office by coordinating key exam-related logistics and processes during the absence of the permanent employee. The incumbent organizes and tracks exam submissions, coordinates schedules, liaises with instructors and departments, and supports the administration of in-person examinations. The role involves high-volume coordination, attention to detail, and ensuring adherence to established examination procedures.
Primary Responsibilities:
- Organizes and coordinates aspects of exam-related processes, including the collection, tracking, and preparation of exam submissions.
- Coordinates and oversees logistics related to printed examinations, including liaising with Printing Services for production and delivery.
- Assists in the preparation and distribution of examination schedules, monitors and updates relevant documents and materials.
- Acts as a liaison between the Exam Office and instructors, departments, and faculties to provide information and resolve exam-related inquiries.
- Communicates deadlines, requirements, and policies related to exam submissions and scheduling.
- Provides guidance to instructors and staff regarding exam formats, procedures, and submission requirements.
- Verifies, compiles, and organizes exam materials and related documents.
- Supports the multiple-choice scoring process by scanning exams and ensuring accuracy of results using exam scoring software.
- Compiles basic reports and summaries related to exam submissions, scheduling, and scoring outcomes as required.
- Supports the day-of operations for in-person examinations, ensuring materials are prepared, organized, and distributed appropriately.
- Coordinates room bookings and assist with the scheduling and administration of ad hoc examinations.
- Provides front-line assistance in the Exam Office and acts as a resource person for students, faculty, and staff.
- Identifies issues arising during exam coordination and scheduling and makes recommendations to improve processes.
- Acts as a resource person for troubleshooting and resolving logistical problems.
