Job Description

We are seeking a highly organized and proactive Production Materials Coordinator to join our operations team. This role is the critical link between our production schedule and our materials supply chain. The successful candidate will be responsible for the one part of work order life cycle, ensuring that all necessary raw materials are available precisely when needed. You will be the go-to person for managing priorities, expediting urgent requests, and maintaining a seamless flow of materials from our 3PL partner to the production floor.

Key Responsibilities:

Work Order Management:

Coordinate and manage production work orders based on customer demand and production capacity.

Monitor the progress of work orders through each stage of production, ensuring timelines are met.

Maintain the accuracy of work order data, including material consumption and completion status.

Raw Material Coordination & 3PL Liaison:

Act as the primary point of contact for our 3PL warehouse for raw material needs.

Routinely check inventory levels and generate material "call-offs" to replenish on-site stock.

Coordinate and track inbound shipments from the 3PL to our production facility, ensuring timely delivery.

Inventory Allocation & Reservation:

Allocate and reserve specific raw materials (e.g., specific team crests, vinyl rolls, name/number kits) for individual work orders to prevent shortages.

Work closely with the production planning team to anticipate material requirements for upcoming jobs.

Assist in resolving any material discrepancies or shortages by collaborating with the supply chain and 3PL teams.

Priority Order Management:

Identify and flag "hot orders" or other high-priority jobs that require expediting.

Proactively follow up with production supervisors and team leads to ensure hot orders are moving through the workflow without delay.

Communicate real-time status updates on urgent orders to the Customer Service and Sales teams.

Qualifications

1-3 years of experience in a similar role, such as Production Coordinator, Materials Planner, or Supply Chain Coordinator, preferably in a manufacturing environment.

Proven experience working with an ERP or MRP system (e.g., SAP, Oracle, NetSuite, etc.).

Strong proficiency in Microsoft Excel (e.g., VLOOKUP, pivot tables) for data analysis and reporting.

Exceptional organizational skills and a meticulous attention to detail.

Excellent verbal and written communication skills, with the ability to liaise effectively with internal teams and external partners (3PLs).

A strong sense of urgency and the ability to prioritize tasks in a fast-paced, deadline-driven environment.

Preferred:

A post-secondary diploma or degree in Supply Chain Management, Logistics, or a related field.

Experience in the apparel, printing, or product customization industry.

Direct experience coordinating with 3PL providers.

A proactive, problem-solving mindset with the ability to anticipate and resolve potential bottlenecks.
