Job Description
We’re looking for an Office Manager / Receptionist to be the welcoming face of our Edmonton district office. This role is central to creating a positive first impression for employees, clients, and visitors while ensuring the office runs smoothly day-to-day. You’ll manage reception, support office operations, coordinate events, and help foster a great workplace culture.
This is an on-site, front‑desk role that supports office leadership and employees across the district.
Office Management
- Oversee day-to-day office operations, including maintenance requests, vendor coordination, and general office upkeep.
- Schedule meetings, videoconferences, and conference calls.
- Coordinate district programs, events, workshops, social committee activities, and fundraising initiatives.
- Support project setup by gathering information, entering data, and updating spreadsheets as needed.
- Arrange office/workstation assignments and ensure new employees receive a smooth office orientation.
- Act as first point of contact for building services (utilities, snow removal, cleaning, lawn care, repairs).
- Assist the District Manager with office budgeting.
- Prepare expense reports for senior leadership, generate purchase orders, and process invoices.
- Suggest improvements to office processes and troubleshoot issues as they arise.
- Perform minor office maintenance or coordinate for larger tasks
Reception & Administrative Support

Provide a warm, professional welcome to all visitors and callers.

Manage incoming calls, emails, and in-person inquiries, directing them to the right contacts.

Oversee mail, courier services, and printer support.

Log and distribute incoming cheques.

Arrange travel for staff (flights, hotels, rental vehicles) through approved vendors.

Coordinate catering and assist with event setup and cleanup.
-
Manage orders for office, kitchen, and stationery supplies; ensure stock levels are maintained.

Support building security (keys, fobs, alarm codes).

Maintain a tidy, organized reception area and manage the visitor log.

Provide general assistance to staff and visitors.

Perform other administrative duties as required.
Qualifications
-
Some related post-secondary education; certificate or diploma related to business or office administration preferred.

5+ years of related experience in an office administrator or receptionist role.

Strong knowledge of office procedures and practices.

Strong written and verbal communication skills (phone, email, in-person).

Self-directed individual who can work independently with minimal supervision.

Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.

Excellent organizational skills with an ability to think proactively and prioritize work in a busy office environment.

Solid experience with office management systems, including the full Microsoft Office suite of software: Word, PowerPoint, Excel, Outlook and Teams.

Experience with Chrome River (expense reporting software) and Autodesk (construction management software) would be considered an asset
