About the role

What You'll Be Doing:

Stifel Canada is looking for a highly motivated full-time Investment Banking Executive Assistant to support the Head of Mining Investment Banking and the broader team. This role is to provide high-level administrative support and operational support, along with strong client service. The Executive Assistant will be responsible for performing an array of administrative functions requiring discretion, initiative and sound judgement. Success in this role requires the ability to work effectively with senior leaders and team members across all levels in a fast-paced environment. You will be expected to remain flexible, proactive, resourceful, and efficient, while maintaining a high level of professionalism. You will also adopt processes and approaches as needed to support team priorities and ensure work is completed in line with the department’s objective.

Salary range: $70,000 – $85,000 annually

The base pay offered will be determined based upon the candidate's skills and experience, job-related knowledge, and other specific business and organizational needs.

What We're Looking For:

The Executive Assistant will be responsible for the following tasks:

  • Perform administrative duties, including: multi-calendar management, filing, mailing, creating and maintaining records, and miscellaneous administrative support as needed;
  • Coordinate business meetings, conferences, presentations and client events. Prepare agendas and material;
  • Manage email inbox as required;
  • Coordinate complex travel arrangements;
  • Prepare monthly expense reports and other monthly reporting duties;
  • Prepare client invoices;
  • Prepare deal-related correspondence;
  • Maintain multiple extensive contact databases and
  • Client interfacing where required, and handling of general email and phone inquiries.

  • Knowledge of capital markets and the financial services industry would be an asset;
  • Excellent oral and written communication skills complemented by exceptional interpersonal skills;
  • Quick learner, with good ability to grasp new information;
  • Committed to providing excellent customer service;
  • Extremely high level of discretion and confidentiality, both in and out of the office;
  • Ability to work under a high pressure and time sensitive environment;
  • Meticulous attention to detail and critical thinking skills;
  • Strong multi-tasking ability complemented by excellent prioritization and organization skills;
  • Teamwork skills complemented by the ability to work independently, and initiative taking; and
  • Desire to join and help build a winning team.

Education & Experience:

  • Minimum three years prior executive assistant work experience in investment banking or management consulting.

Systems & Technology:

  • Proficient in Microsoft Outlook, PowerPoint, Excel and Word; and
  • Proficient in Zoom.
