About this Role

The Site Clerk supports the efficient day-to-day operations of a residential construction site by coordinating communications, scheduling trades, maintaining site documentation, and assisting with administrative tasks. This role helps ensure smooth collaboration between site staff, head office, and trades while keeping information organized and up to date. This is a full-time, six-month contract position.

Key Responsibilities:

  • Serve as the primary administrative support for the construction site, managing incoming communications from trades, suppliers, crews, and external stakeholders while coordinating information between the site team and head office.

  • Coordinate and schedule trades, utility providers, and municipal inspections in collaboration with the Site Superintendent and foremen to support efficient site operations.

  • Maintain accurate and organized site documentation, including contracts, change orders, inspection reports, permits, and other construction records.

  • Update scheduling and project information in the construction management system and maintain communication tools within the site office.

  • Support procurement and logistics by ordering site materials, tools, and office supplies as requested by the site team.

  • Manage site deliveries by verifying shipments, reviewing Bills of Lading and purchase orders, and ensuring packing slips and documentation are properly submitted to head office.

  • Assist with construction coordination tasks such as marking plans, reviewing construction documents, and supporting general site administration as required.

  • Other administrative tasks as assigned by the Site Superintendent or foremen.

Education and Experience Requirements:

  • High school diploma required

  • Minimum 3 years of office administration experience

  • Residential construction experience is an asset

  • Strong organizational, prioritization, and time management skills

  • Excellent verbal and written communication skills

  • Strong customer service orientation

  • Ability to maintain effective interpersonal relationships

Physical/Sensory Effort and Work Environment

  • You work in a loud, busy residential construction site environment year-round, indoors and outdoors, in all weather conditions.

  • You will sit for extended periods. You must be able to climb stairs and walk around the site for various tasks.

  • Overtime may be required as needed.
